The Project Documents Controller is responsible for managing, organizing, and controlling all project documentation, ensuring it is consistent, up-to-date, accessible, and compliant with company standards. The role involves maintaining document registers, reviewing and processing documentation, and ensuring effective communication among project teams, stakeholders, and clients.
Key Responsibilities:
Oversee the management of project documentation, ensuring all documents are properly cataloged, filed, and stored.
Serve as the primary liaison between consultants and the internal project team regarding the document control.
Ensure version control of documents is maintained throughout the project lifecycle.
Organize project documentation including contracts, drawings, specifications, reports, meeting minutes, and other technical documents.
Act as the primary point of contact for document-related inquiries from project teams, clients, and other stakeholders.
Work closely with project managers, engineers, and other departments to ensure timely delivery and review of documentation.
Ensure effective document distribution and retrieval in both physical and digital formats.
Maintain document registers and track the status of documents (draft, final, approved, etc.).
Ensure all documents meet legal, regulatory, and contractual requirements.
Organize and manage both electronic and paper-based document systems, ensuring accessibility and security.
Ensure proper archiving and retention of documents upon project completion.
Review documents for completeness, accuracy, and compliance with project requirements.
Track project document progress, submission deadlines, and ensure timely delivery of all required documents.
Provide regular updates to project management teams on the status of documents and documentation-related tasks.
Qualifications & Skills:
Bachelor's degree in a related field (e.g., Business Administration, Engineering, or a relevant technical discipline) or equivalent work experience.
Previous experience in document control, project administration, or a similar role is preferred.
Experience in managing documentation in a project environment, preferably in construction, engineering, or IT sectors.
Strong organizational skills and attention to detail.
Proficiency in document management systems (e.g., SharePoint, Aconex, Procore, or similar platforms).
Ability to prioritize tasks, manage multiple documents, and handle tight deadlines.
Strong written and verbal communication skills.
Knowledge of version control processes and document management best practices.
