Job Title: FF&E Procurement Specialist Department: Procurement Reports To: Head - Procurement Location: Dubai, United Arab Emirates Job Summary: The Furniture, Fixtures, and equipment (FF&E) Procurement Manager is responsible for sourcing, negotiation, and procurement of furniture, fixtures, and equipment for hospitality, residential, or commercial projects. This role ensures technical understanding and knowledge of product specifications, timely delivery, cost- effectiveness, and quality compliance while maintaining strong vendor relationships and aligning procurement strategies with project goals. Key Responsibilities: Strategic Procurement & Planning o Develop and implement FF&E procurement strategies aligned with project timelines and budgets. o Collaborate with design, project management, sales and finance teams to understand specifications and requirements. o Implements knowledge of material and finishes and suggest vendors accordingly o Forecast procurement needs based on project schedules and market trends. Vendor Management o Identify, evaluate, and onboard suppliers and manufacturers globally. o Develop vendors based on technical specifications and suggest alternates to improve product quality and cost efficiency o Should have deep knowledge of vendor base across Europe & North America region and maintains strong data base of global vendors o Negotiate contracts, pricing, and delivery terms to ensure value and quality. o Maintain strong relationships with vendors to ensure reliability and performance and has good knowledge of premium furniture brands. Project Execution o Manage end-to-end procurement lifecycle for FF&E items including sourcing, ordering, logistics, warehousing, and installation coordination. o Ensure compliance with design intent, quality standards, and sustainability goals. o Monitor and report on procurement progress, risks, and mitigation plans. Cost Control & Budgeting o Prepare and manage procurement budgets for FF&E packages. o Track expenditures and identify cost-saving opportunities without compromising quality. o Sharing accurate cost data with Sales team to ensure project costing is developed for end customer o Approve purchase orders and ensure adherence to financial controls. Documentation & Compliance o Maintain accurate records of procurement activities, contracts, and supplier performance. o Ensure compliance with company policies, legal regulations, and ethical standards. o Support audits and reporting requirements. Qualifications & Skills: o Bachelor's degree in Engineering, Supply chain management, Business Administration, Interior Design, or related field. o 8+ years of experience in FF&E procurement preferably in related agencies/consultancies or Architectural firms, hotels, hospitality or luxury residential sectors, having worked in OS&E departments. o Strong experience in handling international projects preferably in Europe and/or United States o Strong negotiation, analytical, and project management skills. o Proficiency in procurement software (e.g., D365, SAP, or industry-specific tools). o Excellent communication and stakeholder management abilities. o Knowledge of global sourcing, logistics, and customs regulations
