Job Purpose



The Procurement Administrator supports the procurement team in executing day-to-day purchasing, vendor coordination, and contract administration activities. The role is critical in maintaining accurate procurement records, liaising with Arabic-speaking suppliers and stakeholders, and ensuring timely and compliant acquisition of goods and services required for PSI's operations across the UAE and the MENA region.

Key ResponsibilitiesProcurement Support



Process purchase requisitions and prepare purchase orders in compliance with internal policies. Source quotations from vendors, compare offers, and support evaluation processes. Coordinate with internal departments to confirm technical specifications and delivery requirements.

Vendor Liaison & Arabic Communication



Communicate directly with Arabic-speaking suppliers for quotations, clarifications, and negotiations. Translate procurement-related documents (e.g., contracts, quotations, invoices) between Arabic and English. Build and maintain strong relationships with local and regional vendors.

Contract & Documentation Management



Support the administration of contracts and agreements, ensuring accurate records and timely renewals. Maintain procurement documentation, records, and reports for audit and compliance purposes. Ensure supplier documents (licenses, tax certificates, bank details) are valid and up to date.

Logistics & Coordination



Track delivery timelines and follow up with suppliers and logistics providers to ensure on-time delivery. Coordinate with the finance team to resolve invoice or payment issues with vendors. Assist in customs clearance or import documentation, if applicable.

Requirements, Education & Qualifications



Diploma or Bachelor's degree in Business Administration, Supply Chain, or a related field.

Experience



2-4 years of experience in procurement, preferably within the UAE or GCC region. Experience in administrative support roles in procurement or supply chain departments.

Skills



Fluency in Arabic and English

(spoken and written) is essential. Knowledge of UAE procurement procedures and vendor landscape. Strong organizational and time-management skills. Proficiency in MS Office (especially Excel); experience with ERP systems is a plus.

Preferred Attributes



Familiarity with UAE government regulations and compliance in procurement. High attention to detail and accuracy in record-keeping. Team player with strong interpersonal and problem-solving skills.
