Job Description

Overview

A pharmacy clerk is an admin position that reports directly to the Pharmacy supervisor and Head of pharmacy and responsible for all the pharmacy activities including but not limited to administration, claims management and inventory control.

Responsibilities

1. Administrative roles and responsibilities:
- Report to Pharmacy Supervisor and Head of Department any pharmacy related issues and required reports within the agreed timelines.
- Generate and report to finance and quality departments all requested reports on a regular basis within agreed timelines.
- Supervise housekeeping staff to ensure proper pharmacy cleaning.
2. Customer Service:
- Receive and greet customers with a smile and offer help and attend customer enquiries.
- Answer calls, reply to messages and emails as necessary.
- Resolve customer complaints and get the support from the pharmacy team when required.
3. Expiry Management and Drug Recalls:
- Perform regular check for expiry as assigned by the supervising pharmacist, Print expiry list, segregate near expiry items and create a push list for pharmacists.
- Learn and practice how to handle expired drugs/items and drug recalls and archive expiry and recall related documents properly.
- Arrange item/drugs on shelves in FIFO order to minimize expiry loss.
4. Inventory Management:
- Ensure proper arrangement and cleanliness of medications and general items display.
- Refill drugs/items shelves on a daily basis and report on a regular basis item/drug shortages to the pharmacist handling purchase orders to ensure availability and to avoid out of stock situations.
- Process purchase requests, receiving drug/item orders, entering GRNs, labeling and arranging drugs/items.
- Perform review and double check of supplier invoices versus system GRNs and submit to finance for payment processing no later than 3d of every month.
- Archive purchase invoices, Credit notes, internal transfer notes and other related documentation properly.
- Process internal transfer requests between branches, and archive records properly.
- Manage pharmacy storage areas, monitor and update store lists regularly on the shared folders.
- Assist the pharmacy team in perpetual and annual stock takes whenever planned.
5. Home Delivery Service:
- Practice handling pharmacy Home Delivery Service.
6. Claims Management: - Learn and understand available insurance providers, their different plans and policies and coverage information.
- Perform double checking on pharmacy claims and report any identified errors to the respective pharmacist.
- Ensure claims submission on time.
- Download and revise claims remittance advice received, analyze denied with denials and do resubmission within 15 working days from the date of receiving payments.
- Report any insurance claims related issues as required within the agreed timelines.
- Archive insurance claims as required.
7. Quality Management:
- Update and maintain required Pharmacy Quality records, listings and reports.
- Assist in the monitoring of departmental quality key performance indicators.
- Assist the team in performing regular internal JAWDA and EOC audits to ensure compliance with regulatory and organization quality standards.
8. Product Knowledge, Technical Knowledge , Personal and Professional skills :
- Ensure continuous updated knowledge on available drugs/ items.
- Ensure updated knowledge on UAE pharmacy laws and regulations.
- Awareness of pharmacy systems features and use.
- Learn how to generate system reports and perform data analysis.
- Be organized at all times and with everything you do.
- Learn and enhance Team work, communication and other soft skills to improve personal and professional relationships with patients and peers.
9. Other Tasks and Responsibilities:
- Perform any other duty as required/assigned by the supervising pharmacist or head of pharmacy that commensurate with the post.

Qualifications
  • Diploma or high school.
  • Minimum of two years of relevant experience as an admin /clerk in a pharmacy setting.
