The Role
Duties and Responsibilities: \xe2\x80\xa2 A personal assistant helps to keep her boss organized and productive, whether on personal issues like Boss\xe2\x80\x99 family events, bookings; etc. \xe2\x80\xa2 Should know who are the key personnel are (both external and internal) and understand the organization\xe2\x80\x99s aims and objectives. \xe2\x80\xa2 Works closely with senior managerial or directorial staff, usually on a one-to-one basis and to make them use of their time at their best . \xe2\x80\xa2 Screening and dealing with telephone calls, enquiries, emails and requests that are related to her Boss\xe2\x80\x99 and handling them when appropriate; \xe2\x80\xa2 Taking dictation and minutes and providing on time and updated reports. \xe2\x80\xa2 Maintaining records and provides feedback the status on all related matters regarding marketing, sales targets and project to completion. \xe2\x80\xa2 Carrying out specific projects and research for Marketing Issues, if needed. \xe2\x80\xa2 Organizing and maintaining diaries, meetings and making appointments; likewise attending meetings and ensuring the concerned are well-prepared for meetings; secure the location for the meeting, such as a conference room or the \xe2\x80\x9clocation\xe2\x80\x9d; and produce/prepare presentation and any materials or documents that are needed for the meeting. \xe2\x80\xa2 Fully manage customer events / invitations; VIP guests and company events internal and external like Gulf Host \xe2\x80\xa2 Liaising with Swiss Marketing Organization, clients, suppliers and other staff. \xe2\x80\xa2 Deputizing for the manager, making decisions and delegating work to others in the manager\'s absence; if necessary. \xe2\x80\xa2 Organizing her Boss\xe2\x80\x99 business trip from A-Z like coordinate with different embassies/consulates for visa purpose and all requirements, arranging travel and accommodation and, occasionally travel along with the Boss to provide general assistance, if needed. \xe2\x80\xa2 Create or contribute to social media content for UAE / Group Website

Requirements
  • College / B.A. Degree Holder, diploma in Administration / Management \xe2\x80\xa2 3 years minimum experienced on executive level \xe2\x80\xa2 Posses Excellent organizational & communication Skills \xe2\x80\xa2 Excellent skills on MS Office \xe2\x80\x93 Excel, Outlook & Powerpoint \xe2\x80\xa2 Be articulate, confident, a problem solver and above all diplomatic. \xe2\x80\xa2 Very good command in English and French language (able to speak / write / read), applicant who can speak German is an advantage. \xe2\x80\xa2 Driving License is preferred (not mandatory)
