Aldar Education is currently seeking a People & Culture Administrative Assistant (Temporary) to support our growing family of owned and operated schools in the UAE. Due to planned current and future expansion we are looking to add to our People & Culture Team supporting our British, US and IB curricula network of schools. The successful candidates will be closely aligned with our core values and ethos and possess a genuine understanding and appreciation of the values of the region. Main Duties: Be the primary point of contact for all school staff on HR queries, including contracts, terms and conditions, payroll, housing, HR policies and entitlements Respond to all general queries and refer any recruitment/head count queries to HR Officer Work with the HR Officer to manage the onboarding process for all incoming staff, including pre-employment communication to ensure new starters are aware of the requirements for their role and for working and living in the UAE Specific Duties: Talent Acquisition & Onboarding: Update trackers used to advertise and manage vacancies and candidate lifecycles Interview management and candidate tracking for all school roles as requested by HR Officer Maintain trackers for pre-employment safer recruitment checks for all staff, including references and suitability/police clearances and ensuring appropriate follow-up as requested by HR Officer All references and relevant paperwork to be collated by HR Support Officer, HR Officer will arrange offer Work with the HR Officer to manage the onboarding of school-based staff, liaising with IT for relevant systems / email set-up and processing staff ID cards HR Support Officer is responsible to Draft letters/memos and routine correspondence. Screen outgoing correspondence before approval. Arrange for meetings as instructed. Include arranging conferences, visual aids and refreshments. May attend meetings to take minutes. Maintain a proper register for incoming/outgoing mail. Ensure direct delivery of confidential material/mail. Human Resources Operations: Prepare daily attendance tracker for all staff, maintain leave tracker recording admin absence, all staff sick leave Update staff records to be compliant with MOHRE and ADEK specifications Perform other similar or related duties as assigned, such as liaising with concerned personnel on all visa, travel and accommodation matters involving Divisional employees; circulating correspondence and periodicals as instructed; etc. Update all HR trackers at school and reports for P&C to reflect accurate details Support HR Officer with maintaining CTC tracker. Assist with tasks assigned as and when required by the management team and undertake any other reasonable duties within the overall function. Perform other duties as requested by direct and dotted line reporting managers/ supervisors Minimum Qualifications: High School Certificate or bachelor's degree Minimum Experience: Minimum of 3 years of experience in administration Job Specific Knowledge & Skills: Proficient in operating PC, Photocopier, and various office machines Proficient in Microsoft Office programs, and Outlook 365 Ability to type in English Customer focused role in the region Fluent English communication skills, written and oral Arabic speaker is advantageous Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment Excellent office management skills
