We are looking for a dedicated and professional Patient Coordinator to join our dental clinic. The ideal candidate will have excellent communication skills and a friendly, approachable attitude to provide outstanding customer service and support to our patients.
Key Responsibilities:
Patient Interaction & Customer Service:
Greet patients warmly upon arrival, ensuring a positive experience.
Answer phone calls, WhatsApp messages, and emails promptly, providing accurate and friendly information.
Assist patients with inquiries regarding treatments, procedures, and costs.
Guide new patients through the registration and intake forms process.
Encourage satisfied patients to leave online reviews and provide valuable feedback.
Appointment Scheduling & Management:
Schedule, confirm, and reschedule patient appointments efficiently.
Send reminders via phone calls, texts, or WhatsApp to confirm upcoming appointments.
Manage the daily appointment calendar to ensure there are no overbookings and minimize wait times.
Check-in patients upon arrival and notify the dental team.
Assist walk-in patients and accommodate them in the schedule where possible.
Billing & Payment Processing:
Provide clear explanations of treatment costs, payment plans, and financing options to patients.
Process payments through cash, credit cards, and insurance.
Issue receipts and maintain accurate transaction records.
Assist patients in submitting insurance claims and providing required documentation.
Administrative & Office Management:
Maintain and update patient records and medical histories in a secure and organized manner.
Ensure the reception area is clean, organized, and well-stocked with necessary forms and supplies.
Prepare daily reports on appointments, collections, and outstanding payments.
Manage office supplies and coordinate restocking with suppliers.
Communication & Coordination:
Relay messages between patients and the dental team in an efficient and professional manner.
Coordinate with dental assistants and hygienists to ensure smooth patient flow.
Handle patient concerns with professionalism, escalating issues as needed.
Provide after-care instructions to patients as directed by the dentist.

Requirements:
Excellent communication skills in English (spoken and written).
Previous experience in customer service or administrative roles, preferably in a healthcare setting.
Ability to multitask and work efficiently in a fast-paced environment.
Friendly, professional, and patient-focused demeanor.
Strong organizational skills and attention to detail.
