The Patient Administrator is responsible for overseeing the administrative aspects of patient care within the facility. This role involves managing patient records, coordinating appointments, and ensuring efficient communication between patients, healthcare providers, and administrative staff. The Patient Administrator plays a key role in maintaining high standards of patient service and operational efficiency.
Key Responsibilities:
Patient Management:
Schedule and coordinate patient appointments, including follow-up visits, diagnostic tests, and procedures.
Verify and update patient information, including personal details, insurance information, and medical history.
Ensure that patient records are accurate, complete, and maintained in compliance with privacy and regulatory standards.
Administrative Support:
Handle patient registration and check-in/check-out processes, including verifying insurance coverage and collecting co-payments.
Prepare and manage patient documentation, including consent forms, medical records, and referral letters.
Coordinate with healthcare providers to ensure that all necessary documentation and information are available for patient care.
Communication:
Serve as a point of contact for patients, addressing inquiries, concerns, and requests in a professional and empathetic manner.
Communicate effectively with medical staff and other departments to facilitate smooth patient flow and address any issues that arise.
Provide patients with information about services, procedures, and policies, ensuring they are well-informed about their care.
Billing and Insurance:
Assist with the billing process, including preparing and submitting insurance claims, verifying patient insurance coverage, and handling billing inquiries.
Collaborate with insurance companies to resolve claims issues and ensure timely reimbursement for services provided.
Compliance and Quality:
Ensure compliance with healthcare regulations, including HIPAA and other privacy laws, in handling patient information and records.
Participate in quality improvement initiatives and contribute to the development of best practices for administrative processes.
Facility Coordination:
Coordinate with facility staff to ensure that patient areas are well-maintained, and any issues are addressed promptly.
Assist in managing patient flow and ensuring that wait times are minimized.
Record Keeping:
Maintain accurate and up-to-date patient records, including electronic medical records (EMRs) and physical files.
Prepare reports and summaries as needed for internal use or regulatory compliance.
Customer Service:
Provide exceptional customer service to patients and their families, ensuring a positive experience within the healthcare facility.
Handle patient complaints and concerns professionally, working to resolve issues and improve patient satisfaction.
Qualifications:
Education:
Associate's degree or higher in healthcare administration, business administration, or a related field preferred.
Experience:
Previous experience in a healthcare administrative role, such as medical office administration or patient services, is beneficial.
Skills:
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in using healthcare management software and electronic Medica records (EMR) systems.
Attention to detail and accuracy in handling patient information and documentation.
Ability to maintain confidentiality and adhere to privacy regulations.
