As the Organization Development Specialist and a member of the University's team, you are expected to play a key role in shaping the University of Sharjah's organizational structure and ensuring its alignment with the University's strategic vision. This involves collaborating with stakeholders across various entities, designing and implementing organizational structures, facilitating role mapping, and championing best practices in organization development. Additionally, you will contribute to the development and improvement of OD processes and provide support for various OD initiatives to enhance the effectiveness and efficiency of the organization.
MAIN ACCOUNTABILITIES & EXPECTATIONS
Design, review, and update organizational structures for various University entities, ensuring alignment with the University's Organization Development policy and procedures. This includes conducting thorough analyses of existing structures and proposing improvements.
Partner with University leaders and stakeholders to understand their needs, business operations, and strategic objectives. Educate stakeholders on OD best practices and facilitate the alignment of college/department mandates and operations with the University's overarching strategic vision.
Develop detailed organizational structure drafts, incorporating feedback from stakeholders and ensuring timely updates and adjustments. Manage the approval process, securing necessary signatures from Deans/Directors.
Conduct and revise role mapping and employee fitment processes once the structure is approved. Collaborate with line managers to ensure accurate placement of current employees in suitable roles, considering skills, experience, and development needs.
Communicate finalized and approved organizational structures and roles to all stakeholders. Liaise with the Human Resources Department to ensure necessary updates are reflected in the HR system (e.g., job title changes, employee transfers).
Conduct organizational needs assessments to identify areas for improvement and development. This might involve surveys, interviews, focus groups, and data analysis.
Develop and implement change management plans, communication strategies, and training programs to support organizational changes.
Analyze organizational data to identify trends, measure the effectiveness of OD interventions, and provide insights to leadership.
Maintain and update the shared folders, which contain all the final and approved versions of all organization structures and JDs, and ensure that the concerned staff members have access to them when needed.
Contribute to the development, implementation, and revision of OD Office procedures. Stay abreast of current trends and best practices in OD and provide recommendations for process enhancements.
Support the Head of the Organization Development Office in various projects, workshops, and events aimed at improving the HR Department and the University. Actively participate in project teams, ensuring timely and accurate completion of assigned tasks.
Train new employees and provide them with technical/practical expertise in any related OD processes to ensure they acknowledge and understand their responsibilities and tasks.
Effectively communicate and collaborate with internal and external stakeholders to facilitate work completion, address inquiries, and provide support.
REQUIRED SKILLS
Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
Proven experience in organizational development, preferably in a university or similar complex organization.
Strong understanding of organizational design principles, job analysis and evaluation, and change management methodologies.
Ability to conduct effective research and benchmarking studies and present sound recommendations.
Knowledge of ERP Systems related to HR operations would be an advantage.
DESIRABLE REQUIREMENTS
Minimum of bachelor's degree in Business Administration, Human Resources or a relevant discipline.
A professional Human Resources certification (such as CIPD, SHRM, etc.)
A Master's degree in a relevant field would add an advantage.
8-10 years of UAE experience in a similar role, preferably in higher education institutions.
