Overview of the role

To provide a safe, secure, clean and compliant environment for our customers, suppliers and co-workers according to Country and IKEA Regulations on a 24/7 basis.

Accountable for planning and implementing the response to major threat to our business, such as fire and/or security breach, identifying risk, training co-workers, preparing contingency and recovery plans, and manage resources during crisis, acting as liaison between the Store and the Government/relevant Ministry.

Responsible for recommending, planning, and executing site changes to ensure Store is in shape as new (SISAN). Oversees and plans annual facility spending for building and grounds maintenance, facility expansion or improvement projects and leads the team to support Com&In Area (Interior Design) project implementation HSE sign off.

What you will do

Lead the Operations team and partner with the Store Manager in achieving excellence in Store Operations, complying with Country and IKEA regulations.

SISAN (store in shape as new)

  • Ensure our store building including Food & Beverage areas are in shape as new and all technical areas are in excellent conditions by managing maintenance and property. Guarantee regular checks to maintain and provide a safe, clean and functional environment for customer, and co-workers.
  • Manage & Scheduling clean services of the stores' inside areas, parking and outdoor areas, including the store faaade and roof.
  • Liaise with external service provider, lead and secure service agreements, negotiate cost effective contracts when required (Cleaners & Security and all MEP providers). Ensure team is manage and trained accordingly.
  • Identified as "subject matter expertaEUR of all facilities management within the stores; Fire systems, water pumps, sprinkler leaks etc and manage consumable parts for MEP & maintenance.
  • Set plans to improve the standards and working methods, reduce costs, etc by having an active role in all external supplier routines.
  • Assess maintenance requirements and set annual plans, ensuring that our investments, capex and store maintenance cost are accurately budgeted, and cost is controlled on an on-going basis, minimize the environmental impact and that consumptions (like energy, gas, water etc.) are as efficient as possible.
  • Supports Com&In (Communications and Interior Design) projects when required ensuring they comply with all HSE rules and recommends corrective actions to safeguard the team.
Customers & Co-workers H&SE
  • Ensure that the rules and guidelines from the IKEA Group Risk Manual and country legislation are implemented and monitored in order to ensure the safety of our co-workers and visitors and that our property is safeguarded.
  • Establish a proactive approach always looking at our store through the eyes of our customers and walking the shop floor at different times throughout the opening hours, and night shift, often together with the commercial team. Using this opportunity to interact with customers and co-workers and understand what is working and what is not.
  • Accountable to schedule and action yearly plans for evacuations, generator tests and power failure simulations;- To implement processes and actions to ensure store safety during day and night shifts.
  • Develop, monitors and carry out risk assessments, investigations, planning and taking corrective action plans based on the findings.
  • Lead crisis management routines and manual documentation.
  • Act as liaison between the Store and the Government/relevant Ministry.
  • Monitor and ensure that Supply Chain Security at the store level is compliant with the IKEA Supply Chain Security Mandatory
  • Responsible to set and deliver training plans (together with HSE Seniors) to Store teams and external suppliers working in IKEA on the evacuation processes, codes and H&S requirements and any other emergency information.
  • Coordinate that sufficient fire marshals/first aiders are on duty at all times and that there is a calendar for regular refresher training
  • Coaches in ASR/Admin., Rules & guidelines and Local Routines - ensure that managers understand and agree on expectations and standards within their teams regarding routines and regularly follow up on these.
Commercial
  • Collaborate with the the store team by supporting and challenging them so we grow our business with sustained long term profitability.
  • Understand the IKEA range and commercial priorities in order to support and contribute to the commercial agenda.
  • Analyse Profit & Loss (P&L) for the store and understand how different actions within Operation Area could impact the the P&L.
  • Work together with the commercial team and IKEA Food (IF) to broaden commercial knowledge, in order to maximise the commercial opportunities in our local market.
  • Understand the impact changes in the store environment has on customers' shopping behaviours and co-workers working methods. As a management team we work with this knowledge to decide how to invest in property, maintenance and cleaning routines in order to positively impact sales and productivity in a cost effective way.
  • Monitors Store Duty Managers routines are updated, implemented and follow up regularly. Carry out audits and review Duty Manager process
  • Responsible to schedule and carry out peak day reviews
People
  • Actively lead and develop co-operation across all areas of the store, through working closely together, sharing knowledge and showing understanding of each other's responsibilities in order to achieve our objectives.
  • Create an environment where the IKEA culture is strong and diversity is valued.
  • Coach and challenge managers, team leaders and co-workers in the store on relevant Operation competencies, to improve their contribution to business performance.
