The role is responsible for the execution of offshore shipments in accordance with the outlined SOPs for an Iraq based Project. You will be able to work with direction given, raise concerns and adhere to all deadlines provided. The person should have strong customer service and communication skills and take ownership of issues and provide resolution to clients. The role is based in Dubai with occasional travel to Iraq as required. Detailed Responsibilities: Pre-Shipment
Supervise Data Upload and PO Quality reports
Ensure all vendors are contacted within the SOP timeframe by the team and manage interaction
performance
Ensure all documents are available in myPA system for customer, origin and destination offices to
download
Run and manage Data Quality reports as defined by Project Manager Shipping
Ensure all shipments conform to the transit time matrix as defined in the SoP/ KPI matrix
Ensure that all shipping documents are vetted thoroughly by the Control Tower and conform to the Iraqi import requirements
Ensure that all shipments, when created by exporting houses, are created under the right Global Ultimate and refer to the right Customer Codes.
Ensure that e-File is up-to-date and complete in all respects
Ensure that Cross-Trade file is opened in time as per PA FOP and all invoicing is completed on time as per the Customer SOP
Reporting and Customer Engagement
Responsible for all legs of transport and all milestone reports towards the Customer
Maintain team performance reports
Responsibilities
Monitor Close out of IHT’s logged by the team
Proceed with CAPA reports (root cause analysis) whenever required
Respond to any customer inquiry within 24hrs
Ensure billing is done correctly and in timely manner
Escalate problematic cases to Project manager
Ensure team is updating all milestones are updated in timely manner with correct information
General Responsibilities:
Provide PM with operational support for ongoing project shipments.
Coordinate the PO details and SOP/MOP with the Origin countries
Prepare SLA with the client
Following up the daily report update for on-going operations, in order to update Client
Liaise with Agility Network to manage shipment updates, expediting efficient handling per PO in line with project defined KPI.
Produce the KPI report, review and take actions where required to improve.
Following SOI
Manage documentation requirement for each shipment ensuring compliance to project requirements
Provide tracking/smartsheet updates for client review.
Update CONTROL with revenue/costs per shipment for billing
Follow up and manage billing process
Ensure cost management per file is maintained and closed out
Ensure documentation, billing and support is shared with client for processing
Any other project related activity as directed by your manager
