:
A multinational free zone freight company is recruiting a graduate having 3-5 years of experience in the freight industry as an operations coordinator.
Job Responsibilities
Import Operations :

• Generating Notice of Arrivals and Agents Advice.

• Raising of freight, demurrage and other invoices where applicable, promptly.

• Co-ordination and close monitoring of updates for shipment arrivals and actual date of vessel arrivals, by agents (where applicable).

• Monitoring of updates for empty return dates at Depot/Pier.

• Liaising with customers, origin offices, and agents in respect to delays/ problems experienced on import moves.

• Coordinating with shipping line and Dubai agent for manifest filing, freight payment, B/L status, ensuring all shipping documents are in order.

• Maintain billing records for all imports.

• Manage shipments with Door Delivery terms by arranging pre-alerts in advance and coordinating customs clearance procedures.

• Coordinate with trucking vendors to ensure timely door delivery at the customer's location.

2. Export Operations:

• Receiving and coordination of export orders received from agents and customers.

• Review the accuracy of quotes for orders received and shipments to be made as per the terms dictated in each order, prior to moves being created.

• Creation of moves and allocation of suitable vendors to each move, on a first-in/first-out basis where possible.

• Responsible for the booking of shipments with shipping lines and the coordination of documents between the shipper, nominated shipping lines, and customs brokers, directly, or as performed by the agents.

• Responsible for the coordination of loading between, shipper / CY(port), transporters, and the shipper, as may be applicable, directly or as performed by agents.

• Co-ordination with shippers, customs brokers, and agents (where applicable) to complete export customs formalities.

• Monitoring and invoicing of moves which incur demurrage at origin, and for destination demurrage which is uncollectible at destination.

• Confirmation of shipments and invoicing for each move to the customer.

• Source competitive rates by liaising with multiple shipping lines.

• For Door Delivery terms, coordinate with trucking vendors to arrange shipment pick-up.

• Obtain required documents from customers to facilitate export customs clearance.

3. General :

• Ensuring all metrics are kept in line with company targets.

• Control and monitoring of inventory within the Middle East to ensure that tanks are made available for export within a minimal timeframe and that equipment is used on a first in/first-out basis.

• Oversee depot activities and coordination of repairs, periodic inspections, leak checks, and special requirements as may be dictated by export customers, in conjunction with TSD.

• Gathering market and competition information from customers, agents, and vendors, and communicating the same to the company.

• To identify new opportunities for all freight and communicate to people and offices within the company that can use the information.

• Follow up with customers on import overdue demurrage invoices, in conjunction with Accounts.

• Ensuring invoicing is timely and accurate as per quotes.

• Maintaining Excel reports and billings for specific customers based on the requirements.

Specific Skills

• Must be ethical, organized and goal oriented.

• Strong written and verbal communication skills.

• Computer literate on basic word/ excel programs.

• Strong international business experience and awareness of cultures.
