Data entry operator, collecting and entering data in databases and maintaining accurate records of valuable company information and receptionist proven ability to juggle multiple tasks and responsibilities while taking full ownership of his/her work, demonstrating excellent telephone etiquette. Attend to visitors and deal with inquiries on the phone and face to face.
Supply information regarding the organization to the employees, clients, and customers.
RESPONSIBILITIES
01 Entering customer and account data from source documents within time limits
02 Compiling, verifying the accuracy and sorting information to prepare source data for computer entry
03 Reviewing data for deficiencies or errors, correcting any incompatibilities and checking the output
04 Generate reports, store completed work with database and perform backup operations
05 Respond to queries for information and access relevant file
06 Research and obtain further information for incomplete documents
07 Apply data program techniques and procedures
08 Scan documents and print files, when needed
09 Keep information confidential
10 Ensure proper use of office equipment and address any malfunctions
11 Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
12 Answering phones in a professional manner, and routing calls as necessary.
13 Receiving and sorting daily mail
14 Assisting with a variety of administrative tasks including copying, faxing, taking notes and making travel plans
15 Provide excellent customer service.
16 Create and manage both digital and hard copy filing systems for all clients
17 Handling queries and complaints via phone, email and general correspondence
18 Maintaining office services as required (such as cleaners and maintenance companies)
19 Receiving and dispatching deliveries
20 Taking and ensuring messages are passed to the appropriate staff member on a timely basis

22 Assist with invoicing, maintaining accounting files, project setups, and new client/vendor setups
23 Report to and assist Chief Operating Officer (COO) in daily tasks and duties
24 Oversee and direct daily company administrative processes and procedures
25 Ensure company policies align with and advance business objectives
26 Strategically map-out, plan, and manage projects
27 Analyze and maintain operational data
28 Develop improved business functionality
29 Ensure compliance with best business practices throughout organization

QUALIFICATIONS & EXPERIENCE
Bachelor degree (Attested)
2-4 years of relevant experience in the office environment or equivalent experience
Presentable and Elegant, Adhere to workflow
Consistent, professional dress and manner
Adaptable & Flexible in terms of Working Hours
Excellent Verbal Communication Skills
Experience with MS Office and data programs
Able to manage priorities and solve problems
Detail-oriented and able to multi-task
Must have a good command of the English language, strong oral and written communication skills
Good reasoning, mathematical, organizational and language skills
Accurately follow written and verbal instructions
Must be reliable and dependable
