Founded by a group of parents who are passionate about open-ended non-judgmental play, OliOli\xc2\xae entails 8 interactive galleries comprising over 45 hands-on exhibits with a second branch in Doha, Qatar.

The Senior Events Coordinator (SEC) is responsible for fulfilling OliOli\xc2\xaes vision of creating awesome experiences and memories for guests visiting to attend birthdays and/or other social events targeting families. Working on and off the floor, SEC acts as OliOli\xc2\xaes brand ambassador, with the primary objective of taking ownership of the birthdays and other social events.

KEY DUTIES & RESPONSIBILITIES

Core Responsibilities:

- Take charge of the birthday experience at OliOli\xc2\xae in all material respects including the core offering, guest satisfaction, booking process, targets, operational execution, and so on

- Augment the current offering to include additional services frequently requested by the guests

- Enhance the booking process and communication with guests to ensure a seamless

- Be an ambassador for the OliOli\xc2\xae brand; ensure that every visitors experience at OliOli\xc2\xae meets or exceeds expectations, specifically through inclusive, culturally appropriate, positive and memorable interactions with a friendly and sincere approach

Visitors Experience and Service

- Treat every visitor with respect and provide friendly, courteous communication by orienting them to the building and informing them of the exhibits areas and programs
- Provide excellent guest service, and facilitate visitors experience and journey through a proactive and thoughtful interaction
- Contribute to a positive, team-based, and visitor-first centric culture

- Remain attentive to the guests throughout their stay at OliOli\xc2\xae and resolve any concerns / answer any queries in a favorable manner
- Attend to guest queries, and complaints. Amicably resolve maters with any dissatisfied guests
- Collect and communicate visitors feedback and suggestions

- Welcome visitors at the time of the event and ensure that their event moves flawlessly through the museum
- Measure outcomes and recognize visitors trends to pinpoint what offerings can best satisfy our visitors

- Establish strong relations with customers to drive repeated visits and referrals

Operational Execution

- Identify any gaps or operational inefficiency to improve the workflow and review this as needed
- Work with the reservations team on a day-to-day basis to have a thorough understanding of the guests reservation/booking
- Communicate with the guests to finalize the details of the visit including food and other options in relation to the visit
- Collaborate with different teams within OliOli\xc2\xae - for example, communicate the food preferences with the caf\xc3\xa9 team in a timely manner, communicate any special requests with the facilities or the guest engagement team as necessary and appropriate
- Undertake all the set-up requirements in the event rooms as appropriate
- Accept payments from visitors for group bookings
- Participate in training programs designed to enhance interaction with visitors in the OliOli\xc2\xae manner

Internal Coordination

- Provide colleagues with a forward-looking calendar of all the events planned on a weekly/daily basis
- Ensure that chaperones are assigned to the group visits
- Adhere to all policies and procedures of OliOli\xc2\xae
- Assist visitors in case of an incident or an emergency situation

- Attend training and be prepared to perform emergency procedures (i.e. fire evacuation, accident reporting, etc)

- Make sure that the F&B orders are placed in time in conjunction with the caf\xc3\xa9 supervisor; ensure that the food for specific events is made available to visitors at the appropriate time
- Working with other colleagues, proactively contribute to the success of any special events and programs designed to enhance the profile of OliOli\xc2\xae within the community
- Perform other duties and be involved in projects and activities that contribute to the achievement of OliOli\xc2\xaes objectives

QUALIFICATIONS

- Min. 3 years work experience in the field

- Experience working in a fast-paced, high-volume environment.
- Excellent grasp of the English language, Arabic is a plus
