Job Purpose:
Coordinate, compile, and preparing various types of tendering and contracts in line with the Company's standards, policies, and procedures in order to contribute in meeting the business objectives.
Key Accountabilities

  • Contribute in performing the tendering activities, starting from the expression of interest till distribution of the agreement in line with the Company's Contracts guidelines.
  • Coordinate the scheduling of tendering process, follow-up with end users on the status of contracts and clarify related queries to facilitate the required actions.
  • Update and maintain standard forms of communication, tender documents, and tender board submissions as per the set specification.
  • Coordinate, compile, and prepare the tender documents; arrange the necessary formalities and preparations based on the Company's tender invitation procedures.
  • Coordinate and make the necessary arrangements for the Site visits, including the Letter of Assistance, in coordination with the Bidders and end-user.
  • Coordinate Technical bid opening sessions and forward the Technical Bids for review.
  • Coordinate the Commercial bid opening and prepare the price comparison of bids submitted by the bidders.
  • Coordinate the contract documents preparation, follow-up its review and endorsement by the user, and signature by the Contractor and Management, then its final distribution to the concerned parties.
  • Communicate and follow-up with the Finance, Insurance and Contractors with regard to the bank guarantees and insurance documents submissions.
  • Liaise with the users and bidders to timely and effectively upload the necessary documents in the relevant systems in order to meet the business requirements. Coordinate with the IT to solve system-based problems faced by bidders during the online bid submission.
  • Maintain the contracts process status in the relevant system. Run various computer-based reports to monitor the progress of the ongoing activities with the contractors and end-users related to the submission of offers, evaluations, and clarifications.
Desired Candidate Profile
Minimum Qualification
  • Diploma in Business Administration or any other equivalent qualification.
Minimum Experience & Knowledge & Skills
  • 5 years of experience in the coordination and preparation of contracts documents, bids, and tenders within a large industrial organization, preferably in the Oil and Gas industry.
  • Demonstrated understanding of contract terms and conditions. Familiarity of standard Oil and Gas industry contracting forms and their operative effects.
  • Good understanding about technical and commercial bids and tender evaluation plans.
  • Awareness about quality, health, safety and environmental management systems.
  • Knowledge of applicable UAE laws and regulations.
  • Planning, organising, scheduling, co-ordinating, checking, examining, and recording.
