Job Description

We are currently looking for an Office Manager for our client in Dubai

Working schedule: from 12pm-9pm or 11am-8pm (to accommodate the US office)

Salary : AED 12-15k AED Plus benefits

The role will be stationed in the reception area, serving as the primary contact for inquiries across various countries where the company operates (US, India, Europe and UAE). The position involves multifaceted responsibilities aimed at maintaining an efficient and conducive office environment for all employees while ensuring smooth day-to-day operations.

Role:
  • Visa Management: Facilitating visa arrangements for employees traveling between offices and overseeing the process for senior executives traveling internationally. Looking after the visa for new employees in the Dubai office.
  • Travel Coordination: Organizing logistics for employee travel between offices and coordinating travel plans for senior executives.
  • Menu Planning: Arranging weekly food menus for the office, ensuring diverse options and catering to dietary needs.
  • Stationery and Office Supplies: Managing inventory, procurement, and distribution of office supplies to ensure seamless operations.
  • Meeting Office Needs: Ensuring all essential office requirements are met to support a productive working environment.
  • Team Coordination: Collaborating with different teams or departments to support their administrative needs, facilitate communication, and ensure smooth workflow.
  • Problem-solving and Decision-making: Addressing day-to-day challenges, resolving issues that arise, and making informed decisions to enhance office operations.
  • Facilities Management: Ensuring the office space is functional, safe, and well-maintained. This might involve coordinating with building management, overseeing repairs, and managing office space configurations.
Note: This role does not encompass recruitment, hiring, or onboarding procedures, as these are centrally managed in India.

Requirements:

Professional Experience:
  • A minimum of 5 years\xe2\x80\x99 experience in roles such as Executive Assistant, Office Manager, Admin Manager, or Receptionist, preferably within a fast-paced organization.
Work Experience:
  • Essential experience working in the United Arab Emirates.
Advantageous Qualifications/Experience:
  • Additional qualifications or experience in Hotel Management, Travel, or the Hospitality sector would be beneficial.
Educational Background:
  • Ideally, a Graduate or College-level education.
Language Skills:
  • Fluency in both written and spoken English and Hindi.
Technical Skills:
  • Proficiency in MS Office applications, including Word, Excel, and Outlook.
