Work profile:
Working as a single point of contact for all Facilities and Administration requirements of our Global headquarters in Dubai.
Management of Front office (Reception, Client interfacing etc.) and back office operations
Ensuring that the facility meets world class standards in terms of a clean, safe, healthy work environment for employees
Supervision of housekeeping staff and implementation of effective housekeeping / cleaning practices.
Ensuring maintenance, upkeep and high uptime of office equipment\'s, electrical, air conditioning and critical system
Scheduling and Supervising all repair, maintenance and refurbishments works within the facility.
Managing Travel requirement of Executive Management (Airline /Hotel Booking, Visa, Forex, Mobile activation etc.)
Managing any ad hoc work requirements, including any outdoor work, of our Executive Management Team
Ensuring upkeep of executive cabins, meeting room, board rooms and appropriate setup for meetings and events
Menu planning, F&B setups for clients visits and Executive Management Team in office or external venues.
Management of Office Pantry \xe2\x80\x93 F&B stock monitoring , timely replenishment, hygiene checks etc.
Managing Stationery, Collaterals, Printing and Consumables needs, including stock management and timely replenishment
Co-ordinating with Building Management / Landlord / External agencies/ Government bodies/ law enforcement agencies for application or renewal of permits / licenses, permissions, approvals or any other ad hoc requirements.
Identifying suppliers / contractors / service providers for various purchase requirements, office repairs and maintenance needs.
Seeking Quotes, negotiating, preparing cost comparatives, seeking internal approvals, issuance of Purchase orders etc.
Maintaining Daily, Weekly, Fortnightly checklist and monthly reports for Facilities related tasks.
Maintaining various consumption / spend tracker for all areas of work.
Ensuring timely processing of all vendor payments and office petty cash management
Monitoring Service Levels for all outsources services and contracts. Sharing feedback with service provide for improvement
Implementing best practices and ideas to improve work environment, aesthetics, quality of infrastructure and service levels.
