FGREALTY is a newly established luxury real estate brokerage expanding its footprint in Dubai and the GCC. We specialize in premium residential and investment properties. As we build our Dubai office from the ground up, we are seeking a versatile and proactive Office Manager to keep all operational areas running smoothly, including HR, office logistics, finance support, and critical listing coordination to help organize and maintain property data in our CRM system.
Overview
This hybrid role combines traditional Office Manager responsibilities with real estate-specific tasks. You will:
Provide core administrative and HR support
Manage office logistics and vendor relationships
Assist with basic finance operations
Support property listing coordination by liaising with agents, entering data into the CRM, and ensuring listings are accurate and up to date
You will be essential in establishing strong operational foundations for FGREALTY Dubai's growth.
Key Responsibilities
HR & Employee Administration
Assist with employee onboarding, contracts, visa processing, and documentation
Manage attendance, leave records, and HR policy compliance
Coordinate employee medical tests, Emirates IDs, and government formalities in collaboration with PRO services
Office & Logistics Management
Ensure smooth day-to-day office operations: supplies, maintenance, cleanliness, and vendor coordination
Organize company events, meetings, travel, and property visit logistics
Handle courier services, deliveries, and document management
Finance Support
Manage petty cash and maintain expense logs
Assist in invoice tracking, collections follow-up, and payment coordination
Support preparation of monthly expense and financial reports
Real Estate Listing Support
Liaise with real estate agents to collect and verify property listing details
Enter, update, and manage property listings accurately in the CRM system
Coordinate with marketing to prepare and maintain property brochures, photos, and videos
Ensure listings comply with company standards and update status as deals progress
Reporting & Administration
Maintain organized filing and electronic record-keeping systems
Generate periodic reports on office operations, HR activities, and listing status
Support CEO and management team.
Requirement
Bachelor's degree in business administration, Real Estate, or related field
3+ years' office management or administrative experience in Dubai or GCC, ideally with real estate exposure.
Experience using CRM systems and property listing tools
Proficient in MS Office, Google Workspace, and basic finance software is essential
Excellent organizational, communication, multitasking, and interpersonal skills is essential
Fluent English (written and spoken); Arabic is a plus
Proactive, detail-oriented, and able to thrive in a fast-growing startup environment
