Job Description

We are looking for an experienced Female Office Manager to join our fast-paced team and assist in the day-to-day growth of business relationships in Dubai and Hong Kong. RESPONSIBILITIES > Manage the entire administration function and daily activities of the office. > Coordinate and organize office activities. > Dealing with correspondence, preparing letters, presentations, and reports. > Lead and support staff members on all HR-related issues and concerns such as visa processing, leave approval, insurance renewals, or any other related issues. > Maintain HR records and employee files in accordance with regulations and policies. > Organize interviews and assist with new hires. > Monitor company legal files\xe2\x80\x99 renewal such as trade license, establishment card, Shari, Chamber of Commerce, and other related documents of the company. > Monitor insurance policy renewal and continuously negotiate and look for cheaper alternatives without compromising on quality. > Perform office tasks including maintaining records, and ordering supplies to ensure a clear and proper documentation/filing process. > Perform basic bookkeeping/accounting including the proper tracking of the company and the owner\xe2\x80\x99s expenses. > Provide assistance to the outsourcing accounting company for any bookkeeping and accounting-related concerns. > Provide overall support to the management team, as required. > Create sales invoices and credit notes using the accounting software in place. > Inventory management. > In charge of Product compliance, and registration of new products on the government\xe2\x80\x99s portal. > Act as the focal point of contact with all the suppliers and service providers. > Conduct any research/task assigned by the Director. QUALIFICATIONS > A bachelor\'s degree or equivalent. > Proven office management, the administrative or assistant experience of at least 3 years in a similar position. > Reliability and discretion. > Excellent communication, negotiation, and relationship-building skills. > Background in Finance is preferable. > Excellent time management skills and ability to prioritize work. > Excellent computer skills. > Attention to detail and problem-solving skills. > Strong organizational and planning skills. > Capable of organizing and supporting event management for employees. > Excellent written and verbal communication skills. > English speaking is a must.
