Job Purpose Office Manager is responsible for overseeing the daily operations of Office and various departments. Duties include, communicating with department heads, relaying important information or policy changes from upper management Key Responsibilities Your main designated responsibilities should include but not be limited to:
Manages the back office support team .
Responsible for:
Facility Management, e.g. mail, office and reception , non-IT infrastructure
Responsible for BCP, ISO
Data protection and Local security management
Responsible for employee insurance and maintenance Monitor and manage office supplies Responsible to support MD with secretarial assistance ( Schedule management , Meeting arrangement ,calendar and leave maintenance etc) Organise office Layout Create and Maintain office Budget Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers Coordinate office staff activities to ensure maximum efficiency Establish and monitor procedures for record-keeping Maintain a safe, secure, and pleasant work environment Reporting office progress to senior management and working with them to improve office operations and procedures Key Responsibilities
Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
Proven office management, administrative, or assistant experience
Knowledge of office management responsibilities, systems, and procedures
Excellent time management skills and ability to multitask and prioritize work
Organization and the ability to multitask to complete a wide variety of tasks
Flexibility to help them adjust to new tasks should company or office needs change
Strong interpersonal skills to interact positively with all employees
Leadership ability to manage challenges and oversee employees
Knowledge of business and management principles
Computer skills and knowledge of office software packages
