Position Summary


Arabic Female ( Bilingual) the Office Manager is responsible for overseeing the daily administrative and operational functions of a law firm in Qatar. This role ensures that the office operates efficiently, supports attorneys and legal staff, maintains compliance with local regulations, and provides a high level of professionalism in all client and internal interactions.

Key Responsibilities



1. Office Administration & Operations



Manage day-to-day office operations to ensure a well-organized and efficient work environment. Maintain office systems, including case management software, filing structures, and document storage. Oversee the reception area, ensuring clients are greeted professionally and confidentiality is maintained. Coordinate office maintenance, equipment servicing, and supply inventory.

2. Legal Support & Compliance



Assist with preparing, organizing, and tracking legal documents and case files. Ensure compliance with Qatar's legal, regulatory, and data-privacy requirements. Manage the firm's scheduling for court dates, client meetings, and internal deadlines. Support attorneys with administrative tasks, including drafting correspondence and formatting legal documents.

3. HR & Staff Coordination



Coordinate recruitment, onboarding, and training for administrative staff. Maintain personnel files and handle leave records in accordance with Qatar Labor Law. Support performance management and staff communication. Coordinate staff schedules and ensure adequate administrative coverage.

4. Financial & Administrative Control



Assist with budgeting, expense tracking, and petty cash handling. Process invoices, liaise with finance/accounting teams, and track billable hours when required. Manage vendor contracts (e.g., translation services, office supplies, IT support).

5. Client Relations & Communication



Serve as a primary point of contact for clients, vendors, and government offices. Coordinate notarization, legalization, and document submission to relevant Qatari authorities (e.g., Ministry of Justice). Handle internal and external communications while ensuring confidentiality standards are upheld.

6. Facility & Security Oversight



Manage relationships with building management, security personnel, and service providers. Ensure compliance with health, safety, and office security policies. Oversee office access systems and document control procedures.

Required Skills & Qualifications



Experience as an Office Manager, Legal Secretary, or Administrative Manager in a law firm or professional services environment. Strong understanding of legal terminology, legal document handling, and office workflow in a law firm. Knowledge of Qatar Labor Law and local regulatory requirements. Excellent organizational, communication, and leadership skills. High proficiency in Microsoft Office Suite and legal software tools. Ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications



Bachelor's degree in Business Administration, Law, or a related field. Experience working with Qatari courts, ministries, and government portals (e.g., Hukoomi). Fluency in English required; Arabic language skills strongly preferred.

Work Environment



Full-time, on-site role in a professional legal office. Requires frequent coordination with attorneys, clients, and governmental entities. Fast-paced, deadline-driven environment.
Job Type: Full-time

Pay: QAR4,500.00 - QAR6,000.00 per month
