PROJECT
Air Products has entered into an agreement with ACWA Power and NEOM (all 3 have equal ownership) for the development of a $5bn green hydrogen-based ammonia production facility sited in NEOM. This is based on renewable energy principles and the project will integrate over four gigawatts of renewable solar, wind and storage power. It will produce green ammonia for export to global markets. The project is scheduled to be onstream in 2026.

POSITION SUMMARY
This position will be responsible for the technical administration and control of all Electronic Document Management Systems (EDMS) infrastructure. The selected candidate will use these systems to aid in the processing and management of internal correspondence of the organization, while developing and implementing consistent file structures and processes to ensure that data management services and workflow protocols are in line with the project’s execution strategy.

NATURE & SCOPE
The main functions of this position are:
  • Administration and management of SharePoint for setting up document templates and reporting
  • Governance and overall administration of Aconex
  • Developing and maintaining of document management performance targets
  • Perform departmental audits on both the system and the processes in document management.
  • Administration and maintenance of all internal NGHC documentation and registers
  • Develop project portfolio dashboard for weekly/monthly tracking
  • Assist Project Controls Manager in the preparation and distribution of monthly reports.

JOB PURPOSE / ROLE:
PRINCIPAL DUTIES AND RESPONSBILITIES
  • Configuration and administration of the SharePoint environment, including administering Organization and User Accounts, user roles, permissions, and project access
  • Performing maintenance of the SharePoint platform, servers and intranet, including data retrieval and backup procedures to prevent data loss
  • Administration of the corporate ACONEX Document Management system to provide reliable and consistent project document management services in support of the execution teams.
  • Generate reports on EDMS (weekly and monthly EDMS reports, EDMS KPIs, etc.), and support in interpreting results and recommending action plans.
  • Develop training plan starting from induction to advanced use of ACONEX. This will also involve developing workflows based on the training needs of users from laymen up to executive management.
  • Managing document version and revision control, information security, including access, retrieval, editing and distribution requirements of all internal NGHC documentation and registers, in accordance with the Project Management Office (PMO) document management methodology
  • Assisting with the development, preservation and maintenance of Document Management Knowledge systems, model documentation and templates to promote best practices and continuous improvement.
  • Provide support to the Project Controls Manager by attending weekly/monthly project meetings to capture key metrics and develop project portfolio dashboard for monthly management review.
People Management
  • Work closely with internal and external stakeholders in support of project management and document control procedures.
  • Provide guidance/training to user departments in proper use of the document management systems.
EDUCATION & EXPERIENCE:
  • Bachelor’s degree in MIS / Computer Science, Business Administration / Management or equivalent
  • Strong knowledge of MS SharePoint
  • Strong knowledge of ACONEX

MINIMUM YEARS EXPERIENCE IN SIMILAR JOB ROLE:
  • Minimum 8 years document control and 5 years SharePoint experience within a large project-oriented EPC or Owner Organization
SKILLS / TECHNICAL KNOWLEDGE AREAS:
  • Experience in electronic data formats production and retention requirements
  • Extensive knowledge of project document closeout and handover procedures
  • Knowledge of file format conversion process
  • Knowledge of various electronic document management applications
  • Ability to work within an established team to achieve targets and goals.
  • Strong knowledge and proficiency with Microsoft office suite (Excel, Word, PowerPoint) and Adobe tools.
  • Configuration of the EDMS and implementing changes to make processes more efficient
  • Excellent verbal and written communication skills
  • Experience of working in a multicultural project team
  • Middle East / KSA experience
