The Middle School Administrative Assistant provides general clerical
support, ensuring the efficiency of the Middle School Office. They will serve as a member of the
administrative assistant team and work under the supervision of the Middle School
Administrator(s).
Primary Responsibilities:
Attendance & Data Management
Execute daily attendance protocols
, maintaining real-time accuracy and investigating discrepancies through direct communication with families, faculty, and students.
Manage student records and rosters
within PowerSchool, ensuring the integrity of data for specialized programming such as Field Trips, Pursuits, and Access.
Generate and maintain official student attendance reports and letters
to support administrative tracking and school-wide reporting requirements.
Middle School Office Support
Provide comprehensive administrative support
to the Middle School Principal and Associate Principal, including proactive calendar management and scheduling.
Serve as one of the primary points of contact
for the Middle School Office, providing high-level customer service and information to students, parents, and faculty.
Streamline office efficiency
by managing general clerical tasks and collaborating effectively with the broader administrative assistant team.
Support the organization of Middle School events
including, but not limited to, Summit for Success.
Overall support of the Middle School Office
Other duties as assigned by the Middle School Principal
Week Without Walls Support
Coordinate with the Curricular Trips Coordinator
to facilitate the planning and execution of Week Without Walls (WWW), specifically overseeing document management and trip-specific communication.
Assist in managing aspects of WWW trips
including, but not limited to, producing visa support documentation, booking transportation, updating website, booking meetings, and creating and sending communications.

Required Qualifications:
College or professional degree preferred
Previous experience working in an international educational institution preferred
Exceptional English communication skills and proofreading skills
Professional presentation
Knowledge and proficiency using productivity software packages (ie School Information
System (Powerschool or equivalent) Google Suite (including advanced features in Gmail,
Calendar, Slides, Sites and Gemini)
Tactful and professional telephone and reception skills
Works well under pressure, with the ability to take initiative and maintain a flexible schedule
Well-organized, detail oriented, with multitasking ability
Pleasant and patient in dealing with faculty, students and parents
Terms of Employment:
This full-time position is classified as a support staff position and reports to the Middle School Principal. General working hours are from 7:45 am - 3:45 pm, Monday through Thursday and 7:45 am - 12:15 pm (on site) & 2:00 pm - 3:45 pm (remote/flexible) on Fridays.
Friday is considered as a full working day for employees and the school reserves the right to
schedule afternoon meetings and/or events where the employee's presence is required.
Employees should plan to be available and ready to respond to work-related requests on Friday
afternoons unless an approved leave of absence has been applied for and approved through the
usual and customary leave request process in advance. Any absence on a Friday will be
considered a full-day absence.
