Job Description

Document Production
Prepare, edit and format documents to a high standard and within agreed deadlines, using appropriate software and templates.
Draft and proofread correspondence, reports and presentations.
Manage document versioning, blacklining, and formatting to required styles.
Carry out photocopying, scanning, printing, binding and related tasks.
Provide support with pitch materials and business development documents when required.
Meetings & Travel Management
Proactively manage diaries, including scheduling and prioritising meetings, calls and deadlines.
Arrange conference calls, meetings, catering, and travel (flights, accommodation, transport, expenses).
Prepare and collate meeting papers in advance.
Assist in planning and coordinating key meetings and events.
Client & Stakeholder Support
Manage confidential information with discretion.
Handle calls and enquiries in a professional and efficient manner.
Welcome visitors and external stakeholders in a confident and professional way.
Maintain accurate contact records, mailing lists, and CRM systems.
Provide support for internal and external events.
Billing & Financial Administration
Assist with drafting and reviewing invoices and billing narratives for accuracy.
Manage disbursement entries and invoice processing through internal systems.
Liaise with internal teams to ensure accurate matter and billing administration.
Monitor work in progress and follow up on billing deadlines as required.
Provide regular billing and fee updates as requested.
Risk & Compliance
Support processes and policies to reduce risk, including information management protocols and secure filing practices.
Administration
Manage leave requests, emails, correspondence and filing systems (electronic and hard copy).
Monitor inboxes proactively and take action as appropriate.
Maintain organised records and reminders for ongoing matters and correspondence.
Team & Professional Development
Support colleagues with secretarial and administrative tasks as needed across teams and offices.
Participate in firmwide projects, training sessions and meetings to remain up to date with systems and procedures.
Develop skills and competencies through training and continuous professional development.
Work collaboratively with other secretaries to ensure efficient support is provided under tight deadlines.
