Our client is seeking a highly organised and detail-oriented Legal Secretary to join their team. You will play a key role in supporting the Fee-earners with a variety of administrative and secretarial tasks. This position requires excellent communication skills, discretion, and a proactive approach to managing multiple priorities. Key Responsibilities
Answer incoming calls, relay messages promptly, and ensure professional communication at all times.
Accurately type, format, and amend legal documents, agreements, and correspondence, ensuring grammatical precision.
Draft and send client-related letters and emails with Fee-earner approval.
Manage diaries, schedule meetings, conference calls, and coordinate travel arrangements.
Provide comprehensive administrative and ad-hoc support to Fee-earners in line with firm guidelines.
Develop and maintain effective and confidential filing systems.
Assist Fee-earners in timely and accurate time entry within internal systems.
Liaise with the Accounts team and Fee-earners to prepare and send invoices, including cover letters and billing checks.
Handle general secretarial tasks and digital dictation.
Proactively manage calendars and prioritise time-sensitive tasks.
Prepare and amend legal documents, bibles, and materials for client meetings.
Support matter management, including opening/closing files and updating client WIP.
Maintain and update client contact information in InterAction.
Process expense claims electronically and manage photocopying, filing, and scanning needs.
Skills & Attributes
Fast and accurate typing, with the ability to handle large volumes of documentation efficiently.
Proficiency in Microsoft Office and CRM tools, especially InterAction.
High attention to detail and strong organisational skills.
Ability to remain calm and effective under pressure, using initiative to solve problems.
Professional telephone manner and excellent written/verbal communication.
Flexible, adaptable, and able to prioritise tasks effectively.
Strong interpersonal skills, sound judgment, and discretion.
Committed to continuous learning and professional development.
Fluent in both Arabic and English.
Collaborative team player with a proactive, can-do attitude.
Qualifications
Minimum of 5 years' experience in a secretarial or administrative role.
High school diploma required; post-secondary education preferred.
Previous experience in a professional services or legal environment is advantageous.
