Job Description

We are seeking an experienced and highly organised Legal Secretary to support attorneys at a leading international law firm. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced legal environment.
Key Responsibilities:
Manage complex and confidential calendars for attorneys, including accurate scheduling of internal and external meetings.
Produce and amend legal documents with precision, including formatting, applying track changes, and working across multiple versions.
Coordinate meetings, lunches, and client dinners, ensuring all arrangements and confirmations are in place.
Arrange international and domestic travel, including flights, accommodation, visa processing, and ground transportation.
Manage telephone calls professionally and relay accurate messages to the appropriate parties.
Handle administrative tasks such as photocopying, printing, binding, scanning, and filing both hard copy and electronic documents.
Support the billing process, including prebill distribution, liaising with partners and accounts, and ensuring timely submission to clients.
Enter attorney timesheets using Expert Time.
Prepare and submit expense claims, invoice requests, and petty cash reports.
Assist in the opening of new client files and matters, ensuring complete KYC documentation is obtained.
Update and maintain client engagement records and event entries using InterAction.
Collaborate with the wider secretary team to manage the main reception switchboard, greet visitors, and prepare meeting rooms.
Provide cross-coverage and support to other partners or attorneys during periods of absence within the secretarial team.
Skills and Experience:
Previous experience in a legal or professional services environment.
Proficiency in Microsoft Windows 10 and Microsoft Office Professional 2018 (Word, Excel, PowerPoint, Outlook).
Strong organisational and communication skills.
Ability to work independently and collaboratively in a team.
High level of discretion and professionalism.
Additional reasonable duties may be assigned as required to support the broader team and firm operations.
