is responsible for supporting the leasing operations of the real estate portfolio, ensuring efficient management of leasing documents, tenant communications, and lease administration processes. This role involves coordinating with tenants, prospective clients, and internal teams to facilitate smooth lease transactions, renewals, and documentation management within the UAE's regulatory framework.
Key Responsibilities:
Assist in the preparation, review, and management of lease agreements, renewals, and amendments in accordance with company policies and local regulations.
Coordinate lease signing processes, ensuring all documentation is complete and accurately file.
Check new lease and create in system, Issue Ejari agreement, get it signed hence approve building access form.
Initiate unit vacating process, liaise with respective departments to receive documents hence arrange for SD refund.
Follow up bounce cheque cases.
Maintain up-to-date records of lease agreements, tenant information, payment schedules, and renewal dates on Yardi System.
Respond promptly to tenant inquiries and requests related to leasing, occupancy, and documentation.
Support team by coordinating property viewings and communicating with prospective tenants.
Monitor lease expirations and initiate renewal discussions proactively.
Track rent payments, follow up on overdue accounts, and liaise with the finance team for collections.
Ensure compliance with UAE tenancy laws and property management standards.
Assist in coordinating property inspections, maintenance schedules, and handover processes.
Prepare regular reports on leasing activities, occupancy rates, and pipeline status.
Collaborate with the property management team to ensure tenant satisfaction and retention.
Maintain strong relationships with tenants, brokers, and internal departments.
Manage the flow of all lease-related documents, maintain files to ensure that documentation is up to date at all times and prepare various lease supporting forms for management approval; distribute within Real Estate and Finance teams as required.
Perform ad-hoc and other duties related to the job as assigned by the Direct Manager
Required Education Qualification: Bachelor's degree in business administration, Accountancy, Property Management, or related field preferred.
Required Work Experience:
Minimum 3 years of experience in leasing, property management, or real estate administration in the UAE.
Other Skills:
Strong working knowledge of leasing aspects in the commercial and residential properties in the Middle East.
Familiarity with Dubai Land Department (DLD) procedures and Dubai REST app or similar platforms is advantageous.
Strong experience in MS Tools and Yardi System Excellent Communications in English & Tagalog and organizational skills.
