Overview

As Leasing Administrator in the Property Asset Management team, you will be responsible for supporting and coordinating leasing activities, ensuring smooth communication between property owners, tenants, and internal stakeholders. Your role involves administrative tasks, lease documentation management, and maintaining accurate records.

Responsibilities
  • Assist in the preparation and administration of lease agreements.
  • Ensure all lease documents comply with legal and company requirements.
  • Organize and maintain an efficient system for lease records and related documentation.
  • Act as a point of contact for tenant inquiries and requests.
  • Facilitate communication between property managers and tenants regarding lease-related matters.
  • Monitor lease expiration dates and assist in the coordination of lease renewals.
  • Communicate renewal terms to tenants and facilitate the documentation process.
  • Review all rent, common area maintenance and tax billings for lease compliance.
  • Input and maintain accurate lease information in property management databases.
  • Maintain the real property database.
  • Generate reports related to lease statuses, expirations, and upcoming renewals.
  • Process recurring rent, monthly utility charges, tenant services payments and other monthly billings.
  • Collaborate with property managers to ensure lease compliance and resolve tenant issues.
  • Assist in the coordination of property showings and inspections.
  • Ensure all lease-related documents are compliant with legal standards.
  • Interface with legal, construction and accounting departments as required to complete tasks.
  • Work with legal and compliance teams to address any documentation discrepancies.
  • Facilitate the onboarding process for new tenants, including necessary documentation and background checks.
  • Assist in maintaining organized filing systems for property and lease-related documents.
  • Provide general administrative support to the Property Asset Management team.
Skills and Qualifications
  • High school diploma or Bachelor\'s degree (or equivalent work experience).
  • Previous experience in property management or leasing administration.
  • Strong organizational and multitasking abilities.
  • Ability to take initiative and work proactively.
  • Ability to work through periods of high workload.
  • Attention to detail and a high level of accuracy.
  • Strong team player with the ability to build relationships.
  • Excellent communication skills, both written and verbal.
  • Understanding of regional business culture and regulations.
  • The ability to understand and make use of computers and information technology (KF Internal Systems).
  • Certifications and Licenses: None.
  • Software: Microsoft Office programs to a proficient level. Proficiency using property management software.
  • Language skills: Fluency in English, written and verbal.
  • Travel: Flexible attitude towards travelling.
