Responsible to Director of International Operations
This person specification is designed to clarify the day to day and general responsibilities to the above referenced position. Due to the size and nature of the business the company reserve the right to vary or amend the duties and responsibilities of the post holder at any time according to the needs of the business.
Responsible for
controlling the tracking and analyzing of HYTORC inventory and developing protocols for loss mitigation. Developing procedures to effectively manage and maintain HYTORC international offices inventory. In addition assess the inventory storage space in the warehouse locations to maximize efficiency in storage of all types of inventory. Assisting in the maintenance of the inventory management software systems and technologies to manage and update inventory records accordingly by office.
General
  • Report to management and advise on inventory process improvements.
  • Develop loss mitigation processes and protocols.
  • Compile and assess inventory reports by office location for completeness; current (up to date) referencing, (part numbers) descriptions aligned to HQ records and pricing
o Variances assessed and propose action plan to correct and update to conclusion
  • Evaluate inventory reports and order patterns to identify items in need of automatic, recurring ordering and alterations to current automated methods
o Periodic checks of reorder levels per office/depot/van to ensure stock levels are maintained inline with business trends (minimum 6 monthly) coordinated with associated head of dept in branch i.e. Service / Customer Service
  • Liaise and coordinate with the respective departments to forecast future inventory requirements \xe2\x80\x93 all groups (Sales / Rental / Spare Parts)
  • Review and recommend procedures for accurate daily records of goods received and goods shipped
  • Coordinate with each office, and assist in maintaining their inventory system; facilitate upgrades to related database and/or software under the direction of the International Operations Director and Software Enterprise Director
  • Schedule and conduct frequent cycle counts and partial audits of physical inventory

  • Assist in the preparation and timetabling of the full year end annual physical inventory stock counts for all international offices, and participate with the in-country team

  • Stock quality and alignment continuity
o Serialisation records o QR labelling \xe2\x80\x93 design / standardisation / implementation
  • Propose and coordinate with international Operations Director and Head of Finance inventory KPIs and tracking for international offices to promote and encourage continuous improvement
  • Performs other related duties as requested

Training
  • Create best practice employee inventory management and stock count training with manual (employee handbook)
  • Ongoing product training, system knowledge training as new versions of products develop and new products are released
  • Inventory software system knowledge; make sure knowledge of inventory system is current and advanced of offices
  • Department refresher training Year End stock count \xe2\x80\x93 best practice and uniformity of process present to team
Support to Upper Management
  • Adhoc reporting on inventory trends
  • Regular inventory health check reviews per office
  • Reporting any issues (People or Process) to Management
  • To support in leading Ad Hoc tasks / projects relating to international inventory
o Support International Operations Director in new office location inventory set up o Relocations support, assessment of location inventory requirements and ordering ISO Quality 9001:2015
  • Work with each offices internal ISO team/point of contact to remain compliant and coordinate best practice relating to inventory
  • Internal Audit in accordance with QMS schedule
  • Manage and coordinate results with other HOD
  • Inventory KPI Tracking

Person Specification
  • Excellent communication skills with warehouse workers, customer service, service and finance
  • Basic understanding of inventory control procedures.
  • Proficient keyboarding skills.
  • Extremely organized and able to work with minimum supervision.
  • Ability to develop professional relationships with international partners
  • Ability to perform inventory calculations.
  • Proficient in Excel required.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 30 kg at times.
