We are seeking a proactive, organized, and detail-oriented
HR Officer
to manage the day-to-day HR operations of the company. The role will focus on maintaining employee records, managing leave and attendance, coordinating with the PRO for visa and legal compliance, and ensuring company licenses and documents are up-to-date. The ideal candidate will bring strong HR administrative skills, a clear understanding of UAE labor regulations, and a mindset of ownership and confidentiality. We are also looking for someone to take care of the company documents such as trade licenses and renewals, company insurances, MOA etc.
Key Responsibilities:
- Needs to be excellent at Excel (formulas, dashboards etc)
Employee Lifecycle Management
Maintain and regularly update the
Employee Master File
, ensuring accuracy of all personal, employment, and visa details
Prepare and issue
offer letters, contracts, renewals, and exit documents
Coordinate
employee onboarding
including document collection, ID card issuance, and orientation
Manage
offboarding process
including exit interviews, clearance, final settlements, and visa cancellations
Track
probation periods
, contract expirations, and initiate renewal or separation workflows as required
Leave and Attendance Management
Track
annual leave, sick leave, short leave, unpaid leave, and time-off
requests
Maintain accurate
leave balance sheets
and ensure proper documentation and approvals are recorded
Coordinate with accounts/payroll team to ensure correct leave deductions and payouts
Flag abnormal leave patterns and ensure alignment with internal policies
Visa & PRO Coordination
Act as the point of contact with the
Public Relations Officer (PRO)
for visa issuance, renewals, cancellations, and Emirates ID processing
Ensure compliance with
UAE immigration and labor laws
Maintain visa status reports and provide timely alerts on
expiring visas or labor permits
Manage company registration systems such as
MOHRE
,
GDRFA
,
E-Channel
, etc.
Company Document & License Management
Maintain a master log for all
company legal and regulatory documents
, including:
Trade Licenses
Establishment Cards
Chamber of Commerce Certificates
Vehicle registrations and insurance policies
Tenancy contracts
Civil defense and HSE certifications
Track expiration dates and lead
timely renewals and submissions
HR Policy Implementation & Compliance
Assist in drafting and enforcing HR policies and internal regulations
Ensure alignment of HR practices with
UAE labor law
and company values
Support audits, inspections, or compliance checks as required by authorities or management
Payroll and Benefits Coordination
Compile
monthly attendance, leave, and overtime data
for payroll processing
Liaise with accounting/payroll department to ensure
accurate salary processing
Track and update employee
insurance enrollment/termination
, claims, and benefits
Employee Support & HR Services
Be the go-to point for employee inquiries on HR-related topics (leave, salary, insurance, visa, etc.)
Maintain a culture of trust, transparency, and confidentiality
Support management in
disciplinary actions, warnings, and grievance handling
Required Skills and Qualifications:
Bachelor's Degree in Human Resources, Business Administration, or equivalent
3-5 years of proven HR generalist experience (UAE experience mandatory)
Strong knowledge of
UAE labor laws
, visa and immigration processes
Experience coordinating with
PROs
and handling government documentation
Excellent organization, documentation, and follow-up skills
High level of discretion and confidentiality
Proficient in Microsoft Office (especially Excel) and document tracking systems
Strong interpersonal and communication skills
Ability to handle pressure, multitask, and meet tight deadlines
