The Role

Overview We are seeking a highly organized and detail-oriented HR Intern to provide essential administrative and clerical support to the Human Resources department in our Dubai office. This role is ideal for a motivated student or recent graduate looking to gain foundational, hands-on experience in HR administration, compliance, and employee documentation. Key Responsibilities 1. Administrative & Documentation Management o Filing and Records: Maintain and organize both physical and electronic employee files (e.g., personnel files, visa documents, medical records), ensuring all documentation is accurate and compliant with confidentiality policies. o Data Entry: Accurately enter and update employee data (personal details, contract renewals, visa expiry dates, training records) in the HR Information System (HRIS) and internal databases. o Correspondence: Assist in drafting and preparing routine HR letters and documents specific to the UAE, such as NOCs (No Objection Certificates), employment verification letters, and standard internal memos. 2. Recruitment & Onboarding Assistance o Sourcing Support: Assist the recruitment team with posting job advertisements on local and international job boards. o Document Collection: Ensure all new hires submit necessary documents for processing (e.g., attested degree certificates, passport copies, visa documents) and ensure proper filing. o Onboarding Kits: Prepare physical and digital onboarding packets and materials, including employee guides and orientation schedules. o Logistics: Assist in coordinating background checks, medical examination appointments, and ensuring timely visa application follow-up. 3. Employee Relations & Project Support o Communication: Help maintain and update HR notice boards, staff announcements, and internal communication channels. o L&D Logistics: Assist in the planning and execution of employee engagement activities and internal training sessions (booking rooms, setting up virtual links, tracking attendance). o Project Assistance: Provide administrative support for small HR projects, such as preparing data for performance reviews or compiling results for employee satisfaction surveys.



Requirements

Required Qualifications & Skills o Education:

Currently pursuing or recently completed a Bachelor's degree in Human Resources, Business Administration, or a related field. o Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable learning new HR software/databases quickly. o Skills: Highly organized, meticulous attention to detail, strong time management skills, and demonstrated ability to manage confidential information with discretion. o Communication: Good verbal and written communication skills in English is essential. Familiarity with basic Arabic professional terms is a plus.
