Job Description

Core Functions/Duties:

  • To be a point of contact for general HR enquiries & coordination between employee & HR dept.
  • To work closely on day-to-day basis with HR manager & other team members together to achieve departmental goal.
Job Purpose:
  • To provide administrative support to the remainder of the HR team (eg. Correspondence, drafting, filling distribution of letters, HR document control, etc.)
Duties & Responsibilities
  • Responsible to ensure that the Human Resources Department requirements for administrative support are undertaken efficiently and professionally, including word-processing, employee's requests, answer telephone, filing, maintain notice boards/memorandum, collect/distribute mail, purchase orders, expense vouchers,.
  • Assist for monthly payroll process.
  • Responsible for the day to day HR administrative activities of all section of HR department
  • To handle employee leave process, employee requests, passport handling
  • Employee's personal filing, update, archiving & record keeping.
  • To ensure that HR system is fully updated at all times. To produce HR reports as & when required.
  • To ensure that level of authority is maintained at all times while executing all above tasks.
  • To contribute constructively in HR policy, procedure & process advancement.
  • To ensure staff personnel files are kept up to date.
  • Follow up & ensure employee's visas
  • Managing the OT, holiday's process and recording of all staff holidays
  • To manage the probationary reports, issuing probationary guidance, making sure probationary reports are prepared by managers
  • To assist with training and development administration, including keeping records of staff attending training, forwarding appropriate joining instructions and keeping training records as up to date as appropriate.
  • Supporting Recruitment in the administration process for recruitment and selection,
  • To support the team with general filing to ensure staff personnel files are kept up to date.
  • Coordinate with PROs. To complete Ad-hoc HR tasks / projects
  • Sharing best HR practices to improve the common departmental objectives.
  • To perform other departmental tasks as and where directed by the Supervisor/Manager
Essential Qualifications,
  • Graduate in any discipline with Certification in HR Professional
  • Should have prior exp. in handling ERP (HR software) payroll processes
  • Ability to deal with sensitive & confidential matters as necessary
Desirable Qualifications
  • Should have hands on exp. in HR coordination tasks from service / banking industry.
  • Should have good PC skills with expertise in MS Applications (Word, Excel, Power Point) should have moderate typing speed.
  • Demonstrate effective communication skills, both verbal and written.
  • Ability to work with limited supervision, to make decisions and work on own initiatives.
  • Should be ability to work under tremendous pressure.
  • Ability to work as part of a team - Should have ability to operate within tight deadline and manage number of work activities at any one time.
  • Re-prioritize work with minimum warning.
Competency Requirements
  • Have excellent customer / employee relations skills - Ability to establish and maintain good working relationship with a wide range of people.
  • Should have thorough understanding & knowledge of UAE labour laws.

  • Good organizational & interpersonal skills. Effective communication skills in order to deal tactfully & sensitively with people at all levels.
