We are seeking a highly organized and efficient Receptionist/Admin Assistant to join our team. The ideal candidate will provide exceptional front desk support, manage administrative tasks, and enhance the overall experience for clients and visitors. This role requires strong communication skills, attention to detail, and the ability to multi-task effectively in a fast-paced environment.
Key Responsibilities:
Front Desk Management:
Greet and welcome visitors, clients, and employees in a friendly and professional manner.
Answer and direct incoming phone calls, emails, and inquiries promptly.
Maintain a clean and organized reception area.
Administrative Support:
Perform general administrative tasks including data entry, filing, and document management.
Assist in scheduling appointments and maintaining calendars for management.
Prepare and distribute internal and external communications as needed.
Office Coordination:
Order and maintain office supplies, ensuring all necessary materials are available.
Coordinate and oversee office maintenance and facility management tasks.
Support team members with various administrative and project-related tasks as required.
Client Interaction:
Maintain a positive and professional relationship with clients and ensure their needs are met.
Handle sensitive information with confidentiality and professionalism.
Record Management:
Assist in the preparation and organization of reports, presentations, and documentation.
Maintain accurate records and files, both electronic and paper.
Team Support:
Collaborate with other departments to facilitate smooth operations.
Participate in team meetings and contribute to a positive working environment.
Qualifications:
High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
Previous experience as a receptionist or in an administrative role is preferred.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with office equipment.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Professional demeanor with a customer-focused attitude.
Ability to work independently and as part of a team.
Knowledgeable in the DMCC PORTAL
