Job Description

Human Resource 1. Recruitment a. Monitoring and updating of weblink and FT career portals b. Execute sourcing activities and channels, post job advertisements and get referrals c. Update applicant database and perform resume screening d. Schedule the applicant, determine required examination for specific requirement and administer qualifying tests e. Review and verify the documents of the candidates f. Conduct in-person or phone call interview g. Coordinate interview schedule and ensure shortlisted applicants were interviewed by Department Managers prior forwarding for final interview h. Obtain assessment notes from placement reviewers 2. Employee Data Maintenance a. Build, update, maintain employee register, staff files and records of employee movement b. Maintain staff register of all residence renewal and cancellation requirements c. Prepare visa requests and secures approval 3. Developmental and Corrective (D\xc3\xa9cor Actions) a. a. Prepare and submit situational reports to concerned management team member or department manager and drafts d\xc3\xa9cor notices. 4. Performance Appraisal & KPI Management a. Prepare appraisal forms and support records such as timekeeping records of staffs and any developmental and corrective actions b. Send out appraisal schedule to all employees c. Coordinate with department managers and all staffs for completion of performance appraisal as scheduled and compile appraisal records d. Preparing initial review of job description and proper management of individual KPIs ADMINISTRATION
  • Draft Letters, Reports, Memos, etc.
  • Travel arrangements which include visa preparations, hotels, tickets and pick up arrangements of FT Management, staff and visitors.
  • Understanding the priorities of mails and segregate accordingly
  • Organize business itineraries, conferences, meetings and social functions
  • Transport Arrangement
  • Document Control for all records maintenance.
FACILITIES MANAGEMENT
  • Initiate, implement, and manage the maintenance strategies of the facilities of Flowtronix. With an emphasis on planning/scheduling, preventative/reactive maintenance.
  • Establish and maintain a maintenance management system for tracking and monitoring registrations, license renewals and other related task with regard to facilities.
  • Prepares reports, data, and make recommendations for improving operations and solving maintenance related problems.
  • Manages outsourced maintenance and other contractors and ensures that they are adequately trained, equipped, and motivated so that the maintenance program can be accomplished in a safe, timely, and cost\xe2\x80\x90effective manner.
VEHICLE MANAGEMENT
  • Assist in sourcing, ordering and requisitioning of all parts and materials required for the repair and maintenance of all FT vehicles.
  • Control the use, care, and repair of the vehicles in authorized shop facilities.
  • Ensure that the shop is in compliance with company requirements.
  • Maintain tracker of all vehicle credentials (i.e vehicle registrations, insurance policies) and physical checks on vehicle on a regular basis.
  • Ensure that all vehicles and its corresponding documents are registered and up to date.
RENTAL & VEHICLE LEASE
  • Source, coordinate and transact with rental facilities regarding leasing requirements of the company.
  • Established guidelines and procedures in obtaining requirements and authorizations, signatures, from management.
  • Monitor mileage and maintenance of each leased vehicles for proper coordination with the driver(s) and rental companies.
Qualifications
  • Educational Qualification- Minimum Bachelor\'s Degree or equivalent
  • 8 years experience as Administrative Assistant in related field.
  • Strong interpersonal, customer service and communication skills
  • Ability to multitask
  • Proficient in Microsoft Office
