Position Overview



The Head Receptionist will manage front desk operations, guide the client services team, and champion

community engagement programs

that connect Parkview with families, schools, and organizations across Qatar.
This role requires a

balance of structured administration

,

strong customer service leadership

, and

genuine emotional intelligence

.
Veterinary experience is helpful but not required -- we are looking for a

true leader in service excellence and community building

.

Key Responsibilities

1. Front Desk Operations Leadership

Oversee daily reception activities (client intake, scheduling, check-outs, billing). Implement and enforce structured workflows to maintain consistent, high-quality client service. Train, coach, and mentor reception team members to meet service standards and digital communication protocols.
2. Client Communication Management

Manage client communications across phone, WhatsApp Business, email, and social media channels. Implement automated reminder systems (appointments, vaccination notices, follow-ups). Handle escalated client concerns with professionalism and empathy, ensuring timely resolutions.
3. Community Engagement & Client Loyalty

Design and coordinate

client education programs

(e.g., pet health workshops, clinic tours for schools). Build partnerships with

schools, family centers, and community groups

to raise awareness of Parkview services. Organize client loyalty initiatives (pet birthdays, welcome packs for new clients, referral rewards).
4. Retail and Marketing Support

Supervise the clinic's retail operations, ensuring stock levels are accurate and promotions are executed. Collaborate with management to execute structured WhatsApp marketing campaigns and promotions.
5. Workflow Optimization & Reporting

Continuously analyze front desk workflows to suggest improvements. Maintain structured client databases (Excel) for targeted marketing and client retention programs. Generate basic monthly reports on client engagement, satisfaction, and team performance.

Qualifications & Skills



Experience:



5+ years in customer service, reception, or administrative management. 2+ years in a supervisory or team lead position.

Technical Skills:



Strong proficiency in Microsoft Outlook, Excel (especially list/database management), Word, and SharePoint. Familiarity with WhatsApp Business, CRM systems, or digital communication tools.

Soft Skills:



Fluent in English; Arabic is an advantage. Natural leader with strong communication, emotional intelligence, and conflict-resolution skills. Creative thinker who can develop programs that connect Parkview with families and schools. Highly organized, proactive, and accountable.

Cultural Fit:
