JOB PURPOSE
The PRO Assistant plays a pivotal role in ensuring compliance with local laws and regulations, streamlining administrative processes, and safeguarding the company's legal standing. The role is vital in maintaining DHL's reputation as a trusted, professional, and law-abiding global brand operating within the UAE.
The position supports the PRO Lead with the full spectrum of document handling, submissions, renewals, and relationship management with UAE government authorities, with an emphasis on proactive engagement and national representation.
MAIN RESPONSIBILITIES

• Provide high-quality administrative and operational support to the Local Affairs Manager and Government Relations Team in all matters pertaining to government submissions and compliance.

• Prepare, verify, and submit documentation required by various UAE government authorities (e.g., salary certificates, access card requests, visa applications, license renewals, permits, and other regulatory documents).

• Act as DHL's liaison with government departments such as DAFZA, MOHRE, GDRFA, Immigration, Customs, and Free Zone Authorities, ensuring professional and timely processing of requests.

• Build and maintain effective working relationships with key representatives in government entities to ensure smooth approvals and resolution of issues, positioning DHL as a cooperative and compliant business partner.

• Monitor regulatory changes and flag updates or potential risks that may impact the business; contribute to internal awareness and adherence to new government protocols.

• Manage time-sensitive or urgent submissions, including availability during non-working hours or public holidays as required to handle emergency requests.

• Support government engagement strategies and contribute to initiatives that enhance DHL's corporate image and alignment with Emirati values and national priorities.

• Visit government offices as needed to ensure document flow, resolve issues, and provide on-ground support to ensure the continuity of business operations.

EDUCATION / EXPERIENCE / QUALIFICATION REQUIREMENTS

• At least 1 year of administration experience.

• UAE National (Emirati) with a family book.

• Minimum 1 year of experience in administrative, government relations, or public affairs roles.

• Strong knowledge of UAE government processes and local regulatory frameworks.

• Familiarity with UAE Labour Laws and immigration procedures.

• Fluent in both Arabic and English - written and spoken.

• Valid UAE driving license and willingness to travel across Emirates as required preferred.

• Strong interpersonal and communication skills with the ability to interact professionally with external government stakeholders.

• High sense of confidentiality, discretion, and responsibility.
