JOB DESCRIPTION FRONT OFFICE/HR EXECUTIVE/ASSISITANT ACCOUNTANT
He/ she is responsible for managing the front desk, greeting visitors, answering phone calls, and performing administrative tasks. Delivering professional and friendly service to clients, visitors, and staff. Maintain employee records up to date. Basic accountant duty also perform. They ensure smooth day-to-day operations.
Roles & Responsibilities:
Greet visitors and clients with a warm and professional manner
Direct visitors to the appropriate person or department.
Answer phone calls and route them to the appropriate personnel.
Respond to emails and inquiries courteously and promptly.
Handle basic customer service queries or complaints professionally and intimate it to the department heads without any delay.
Manage appointment schedules and maintain calendars and arrange meeting rooms.
Handle incoming and outgoing mail and packages.
Assist in maintaining records related to courier and submit to concerned person.
Maintain a clean and organized office and reception area.
Assist with administrative tasks such as data entry and filing.
Assist in preparing documents, reports, and presentations.
Provide information to walk in customers and answer inquiries and direct to proper department.
Monitor office supplies and order replacements as needed.
Liaise and coordinate with office maintenance or cleaning service providers to keep office neat and tidy.
Report and follow up on any technical or facility issues.
Maintain filing systems (digital and physical) for administrative and trading records.
Ensure proper recording of all sort of documents.
Maintain and update employee files (physical and digital).
Track attendance, leave balances, and absences.
Ensure all employee documentation (IDs, contracts, certificates) is up to date.
Support other departments with clerical tasks as required.
Ability to handle sensitive information with confidentiality.
Generate Sales Invoices/ delivery note upon the information from sales team.
Proper recording of all transactions and assist the main Accountant.
Handle the petty cash transactions and its proper evaluation.
Job Types: Full-time, Permanent
Pay: AED2,500.00 - AED3,000.00 per month
