Position Overview:



The Front Office Receptionist is the first point of contact for visitors, clients, and employees. This role involves greeting and assisting visitors, handling phone calls, managing appointments, and performing various administrative tasks. The ideal candidate has excellent communication and organizational skills, is friendly and approachable, and has a professional demeanor to represent the office positively.

Key Responsibilities:



Front Desk Management

Greet and welcome visitors warmly and professionally. Manage visitor sign-in processes and maintain security protocols. Answer, screen, and forward incoming calls, taking messages when necessary. Provide accurate information to visitors and clients regarding the organization's services and policies.

Administrative Support

Manage the reception area, ensuring it is tidy and well-maintained. Coordinate with other departments for office supplies and materials, maintaining an inventory of stock. Assist with scheduling and managing appointments and meeting room reservations. Support various administrative projects, including data entry, filing, and scanning documents.

Communication Coordination

Distribute incoming mail, packages, and deliveries. Prepare and send outgoing mail and packages as needed. Maintain effective communication between departments, handling general inquiries from staff.

Customer Service

Respond promptly and professionally to customer and client inquiries. Maintain a positive and helpful attitude, addressing visitors and staff needs effectively. Resolve or escalate issues as appropriate to ensure visitor satisfaction.

Qualifications:



Education: High school diploma or equivalent; additional administrative training is a plus.

Experience: Previous experience as a front office receptionist or in a customer-facing role is preferred.

Skills:



Strong verbal and written communication skills. Proficiency with office software (e.g., MS Office, email, calendar software). Excellent organizational and multitasking abilities. Professional appearance and positive demeanor. Ability to work independently and as part of a team.

Pay: AED3,500.00 - AED6,000.00 per month
