Greet and welcome visitors, clients, and suppliers in a professional manner.
Answer, screen, and direct incoming phone calls and emails to the appropriate departments.
Maintain the reception area in a neat, organized, and presentable condition.
Receive and distribute incoming mail, documents, packages, and couriers.
Manage the visitor log and issue visitor passes as per company security procedures.
Provide basic information about the company's products, services, and departments to inquiries.
2. HR Administrative Duties
Assist in employee onboarding and offboarding processes (preparing contracts, joining forms, exit clearance, etc.).
Maintain and update employee records and HR databases.
Track and manage leave requests, attendance sheets, and overtime records.
Prepare HR-related letters such as salary certificates, warnings, probation extensions, etc.
Assist in arranging company events.
Handle confidential employee documents and ensure compliance with company policies.
Coordinate with management on recruitment needs and arrange interviews when necessary.
3. Sales Support & Submittal Duties (Cables, Wires, Electrical Products)
Prepare, compile, and submit technical submittals for cables, wires, and other electrical products in compliance with project specifications.
Communicate with factories to request compliance statements, product data sheets, and test reports.
Review project requirements and ensure all documents meet client and consultant specifications.
Track submittal status and follow up with consultants/clients for approvals.
Maintain organized records of all submittals, correspondence, and approvals for future reference.
Coordinate with the sales team to ensure timely delivery of required documents for project bidding and execution.
Provide after-sales document support as required by clients or project managers.
4. General Administrative Support
Assist other departments with administrative tasks when required.
Support procurement and logistics teams in coordinating product deliveries when linked to project submittals.
Prepare reports and summaries for management as requested.
Maintain an updated filing system (both hard copy and digital) for easy document retrieval.
