Job Summary:
We are seeking a professional, well-groomed, and proactive
Front Desk Officer
to manage front-office operations while also supporting secretarial and coordination tasks. This role requires strong communication skills and the ability to handle both internal team coordination and external follow-ups with clients and partners.
Key Responsibilities:
Front Desk Operations:
Greet and assist visitors, clients, and staff in a professional manner
Answer and direct phone calls, manage front-desk email inbox
Maintain the reception area in a clean and organized manner
Handle incoming and outgoing mail/couriers
Secretarial & Administrative Support:
Manage meeting schedules, appointments, and travel arrangements
Prepare memos, letters, reports, and other documents as required
Maintain and organize office files and records (physical and digital)
Assist senior management with day-to-day administrative tasks
Support HR/admin functions like document filing, staff attendance records, etc.
Internal & External Follow-ups:
Follow up with internal departments to ensure timely task completion
Coordinate with clients, vendors, and service providers for updates, documents, and support
Maintain logs of communications and ensure follow-through on pending items
Prepare and share meeting minutes, summaries, or reminders
Requirements:
Bachelor's degree in Business Administration or a related discipline
1-3 years of experience in front desk, office administration, or secretarial role
Strong communication skills in English (Arabic is a plus)
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Presentable and professional demeanor with excellent interpersonal skills
Ability to multitask, prioritize, and maintain professionalism under pressure
Previous experience in a UAE office environment is a plus
