Facilities Management (FM) Coordinator
We are seeking a proactive and organized Facilities Management Coordinator to support the efficient operation and maintenance of our facilities. The ideal candidate will have strong administrative skills, a solid understanding of facilities processes, and a commitment to maintaining a safe and functional work environment.

Salary: 3,000 AED per month (All-inclusive)

Responsibilities
Work Order Management:
Receive, log, prioritize, and dispatch maintenance and repair requests (work orders) through the FM system or relevant communication channels.
Follow up with internal staff and external vendors/contractors to ensure timely completion of all work orders.
Maintain accurate records of all maintenance activities, repairs, and service requests.
Vendor & Contractor Coordination:
Assist in scheduling and coordinating third-party service providers (e.g., cleaning, HVAC, plumbing, electrical).
Monitor vendor performance and ensure compliance with service level agreements (SLAs) and safety regulations.
Process invoices and maintain updated records of vendor contracts and insurance documentation.
Administrative Support:
Manage and organize facilities documentation, including blueprints, equipment manuals, and maintenance logs.
Assist the FM Manager with budget tracking, expense reporting, and procurement of supplies/equipment.
Prepare regular status reports on facilities activities and maintenance backlog.
Operational Support:
Conduct routine site inspections to identify potential maintenance issues or safety hazards.
Assist in coordinating office moves, space planning, and minor renovation projects.
Ensure compliance with all local health, safety, and environmental regulations.
Qualifications and Skills
Experience: 2-4 years of proven experience in facilities management, property management, or a similar administrative/coordination role.
Education: A diploma or bachelor's degree is preferred, ideally in Engineering, Facilities Management, Business Administration, or a related field.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with Computerized Maintenance Management Systems (CMMS) or FM software is a significant advantage.
Soft Skills:
Excellent communication (verbal and written) and interpersonal skills.
Strong organizational and time management abilities, with a capacity to multitask and prioritize effectively.
Problem-solving attitude and the ability to work independently under pressure.
