Position Overview
The Facility Coordinator & Admin (FM) will be responsible for overseeing the day-to-day operations of facility management services, ensuring the smooth functioning of all technical, maintenance, and administrative aspects. The ideal candidate will possess strong leadership skills, knowledge of UAE regulations (especially RERA and Owners Association documentation), and proven experience in managing MEP, cleaning, and soft services.

Key Responsibilities
Facilities Management
Supervise, plan, and coordinate MEP, cleaning, and general maintenance activities across multiple properties.
Conduct regular inspections to ensure all facilities are well-maintained and comply with safety standards.
Manage preventive and corrective maintenance schedules.
Coordinate with service providers, contractors, and vendors to ensure service delivery standards are met.
Monitor and manage AMC (Annual Maintenance Contract) performance and renewals.
Regulatory & Documentation
Prepare and submit documentation required by RERA and Owners Associations, ensuring compliance with UAE property and facilities regulations.
Maintain accurate records of company and property-related submissions, permits, and approvals.
Liaise with government and municipal authorities when required.
Administration & Coordination
Oversee facility-related budgets, cost tracking, and procurement.
Manage inventory of maintenance tools, materials, and consumables.
Handle client communications, service requests, and issue resolution in a timely manner.
Coordinate internal teams to ensure smooth operation between admin, technical, and on-site staff.
Health, Safety & Quality
Ensure compliance with HSE (Health, Safety, and Environment) policies and UAE labor laws.
Conduct risk assessments and implement safety measures on all sites.
Promote sustainability and energy-efficient facility operations.

Requirements & Qualifications
Bachelor's degree in Facility Management, Engineering, or a related field.
Minimum 5+ years of experience in facility management or building maintenance (UAE experience preferred).
Strong knowledge of RERA guidelines and Owners Association documentation and procedures.
Hands-on experience with MEP systems, HVAC, plumbing, electrical, and general maintenance.
Proficiency in coordinating cleaning and soft services operations.
Excellent communication, leadership, and problem-solving skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office and facility management software (e.g., CAFM systems).
Valid UAE driving license (preferred).
