Impact Makers Events is seeking a detail-oriented and proactive
Finance & Admin Manager
professional to help keep our operations smooth, organized, and financially sound. You'll be the backbone of our behind-the-scenes operations -- managing invoices, tracking budgets, and ensuring our paperwork is as polished as our branding.
This role is perfect for a freelance bookkeeper or admin manager with experience in events, creative services, or small businesses.
Responsibilities
Finance
Manage accounts receivable & payable
Track all project-related expenses and budgets
Prepare and send invoices to clients
Follow up on outstanding payments
Maintain clean financial records for tax and reporting purposes
Admin & Operations
Draft and manage contracts and NDAs for clients, freelancers, and vendors
Maintain organized documentation (Google Drive, Notion, etc.)
Assist in onboarding freelancers and vendors (basic forms, contracts, info gathering)
Support with compliance tasks (insurance certs, licenses, vendor agreements)
Coordinate with accountant (if needed) for quarterly or annual reports
Ideal Background
2+ years of experience in finance or administrative support (events/creative agency background is a plus)
Experience with G Suite, Notion, and digital file management
High attention to detail and confidentiality
Self-motivated, organized, and deadline-driven
Engagement Terms
Estimated 5-10 hours/week (more during peak event months)
Freelance contract (remote)
Flexible hours, but must be responsive during business days
Monthly rate or hourly rate negotiable (based on experience)
