Role Overview:
This is a dual-faceted role perfect for someone who enjoys variety. You will be the welcoming face and voice of our company, managing our front desk with professionalism and charm. Simultaneously, you will be the backbone of our sales department, providing crucial administrative support to ensure our sales processes run smoothly and efficiently. Your contribution will be key to our company's success and client satisfaction.
Key Responsibilities:
Receptionist Duties (40%):

  • Greet all visitors, clients, and candidates in a warm, professional, and friendly manner.
  • Answer, screen, and forward all incoming phone calls promptly and accurately.
  • Manage the main company inbox, responding to or directing inquiries as appropriate.
  • Receive and distribute daily mail and packages.
  • Maintain the reception area, conference rooms, and kitchen, ensuring they are tidy and presentable at all times.
  • Coordinate meeting room bookings and prepare necessary equipment and refreshments.
  • Provide general administrative support to all staff as needed.
Sales Administration Duties (60%):
  • Provide direct administrative support to the Sales Manager and sales team.
  • Prepare, format, and proofread sales proposals, quotations, contracts, and presentations.
  • Update and maintain the Customer Relationship Management (CRM) system (e.g., Salesforce, HubSpot) with accurate client data, interactions, and sales activities.
  • Process sales orders and invoices, coordinating with the finance department.
  • Manage the sales team's calendars, schedule client meetings, and coordinate appointments.
  • Assist in preparing monthly sales reports and performance dashboards.
  • Conduct market or client research to support the sales team's efforts.
  • Coordinate logistics for sales-related events or client meetings.
  • Handle initial client inquiries and provide basic product/service information.
Who We Are Looking For (Qualifications & Skills):
  • Essential:
  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proven experience in an administrative support role, preferably within a sales environment.
  • Exceptional verbal and written communication skills.
  • Impeccable professional appearance and pleasant phone manner.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • A proactive, "can-do" attitude and the ability to work effectively both independently and as part of a team.
  • High level of discretion and confidentiality.
  • Highly Desirable:
  • Experience with a CRM software.
  • Understanding of basic sales principles and processes.
  • Associate's or Bachelor's degree in Business Administration or a related field.
