We are looking for a highly organized and proactive
Personal Assistant / Secretary
to support the management team in daily operations within the
event and exhibition industry
. The ideal candidate will handle administrative tasks, manage schedules, assist with event coordination, and ensure smooth communication between departments, clients, and vendors.
Key Responsibilities:
Provide
administrative and secretarial support
to the Managing Director.
Manage
schedules, appointments, and travel arrangements
.
Prepare and edit
correspondence, reports, and event-related documents
.
Assist in
event planning, coordination, and execution
, including vendor follow-ups and client communication.
Handle
incoming calls, emails, and inquiries
professionally.
Maintain
confidential records and filing systems
(digital and physical).
Support the team in
budget tracking, quotations, and invoice processing
.
Coordinate
meetings
, prepare
agendas
, and take
minutes
.
Liaise with suppliers, venues, and other stakeholders as required.
Monitor and order
office and event materials
.
Requirements:
Bachelor's degree or diploma in Business Administration, Management, or related field.
Minimum
2-4 years of experience
as a Personal Assistant or Secretary (preferably in the
event or hospitality industry
).
Excellent communication and organizational skills.
Strong command of
MS Office (Word, Excel, PowerPoint, Outlook)
.
Ability to work under pressure and handle multiple tasks simultaneously.
High level of
confidentiality, discretion, and professionalism
.
Flexible with working hours during
event periods
.
Preferred Skills:
Knowledge of
event planning processes
and industry terminology.
Experience coordinating with
vendors, suppliers, and clients
.
Basic understanding of
marketing and social media coordination
.
Attention to detail and problem-solving mindset.
Job Type: Full-time
Pay: AED3,500.00 - AED4,000.00 per month
