About the Role

The purpose of this role is to provide administrative support to the head of school and faculty coordinator for the range of services, including coordination of students' events, coordination of the executive learning program activities, processing of research claims and collection of research related data, and supporting faculty level committees.

This position will be within the faculty support staff for the School of Humanities, Social Science and Health.




Key accountabilities:

Provide appropriate administrative support service in the Faculty Office. Manage the calendars for heads of schools. Coordinate the activities related to the executive learning program Coordination of students' events and activities, including innovation fairs, camps, visibility events, guest speakers. Coordinate student recruitment events and industry outreach activities, including visits from external stakeholders. Collect CHEDS & KHDA research related data. Assist staff with research related claims, expenditures, and conference applications. Organize faculty committees and record the minutes. Keep track of service contributions of faculty members.

Qualifications and Experience

Qualifications:



Bachelor's degree in a relevant field such as business administration, education management, or a related discipline (Master's degree preferred). Formal training or certification in event management, administrative support, or academic operations (desirable).

Experience:



Minimum of 2-3 years of experience in academic administration, office management, or event coordination, preferably within higher education. Demonstrated experience managing calendars, organizing events, and coordinating with internal and external stakeholders. Familiarity with data collection and reporting for regulatory bodies such as CHEDS and KHDA. Experience providing administrative support for faculty committees, including scheduling, document preparation, and minute recording.

Knowledge:



Understanding of academic and administrative processes in higher education, including event coordination and stakeholder engagement. Familiarity with institutional policies and procedures related to research support, claims, and student recruitment. Knowledge of reporting requirements for CHEDS and KHDA.

Skills:



Organizational Skills: Ability to multitask, prioritize, and manage time effectively in a fast-paced environment. Communication Skills: Strong verbal and written communication skills for liaising with diverse stakeholders and documenting committee activities. Event Coordination Skills: Expertise in planning and executing student events, recruitment activities, and outreach programs. Data Management Skills: Proficiency in collecting, verifying, and submitting data for regulatory and institutional purposes. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and administrative management tools. Problem-Solving Skills: Ability to anticipate challenges, propose solutions, and resolve issues related to administrative and event activities. Attention to Detail: Meticulous approach to maintaining records, tracking faculty contributions, and ensuring compliance with institutional and external requirements. Interpersonal Skills: Strong ability to collaborate with faculty, students, and external stakeholders to achieve shared goals. Adaptability: Flexibility to handle changing priorities and requirements with a proactive approach.
