Position Overview
The Facilities Management Executive role in Dubai supports the Operations Department by coordinating, monitoring, and documenting all facilities management activities. This role ensures efficient day-to-day FM operations, accurate reporting, and strong coordination across service providers, internal teams, procurement, and finance. The position plays a central role in linking site execution with documentation, compliance, and financial tracking across properties.

Key Responsibilities

  • Monitor daily facilities management activities and ensure compliance with maintenance schedules and SLAs
  • Track performance of outsourced service providers across hard and soft FM services
  • Coordinate with internal teams and contractors for corrective and preventive maintenance works
  • Support site inspections, audits, and verification of completed jobs
  • Maintain detailed logs of assets, work orders, and maintenance activities
  • Support continuous operational readiness of MEP and civil systems
  • Prepare and track PRs, LPOs, AFEs, and related financial documentation for FM works
  • Support tendering and quotation processes including technical summaries and vendor evaluations
  • Coordinate with Procurement and Finance to ensure timely approvals and accurate records
  • Maintain CAPEX and OPEX project trackers, highlighting milestones and pending actions
  • Update monthly dashboards, KPI reports, and vendor performance evaluations
  • Maintain organized records for FM contracts, permits, reports, and authority documentation
  • Prepare presentations, memos, and progress summaries for management reporting
  • Support internal and external audits covering operational, financial, and compliance areas
  • Ensure compliance with DCD, HSE, and regulatory authority requirements
  • Maintain documentation such as method statements, risk assessments, and work permits
  • Track safety incidents, corrective actions, and follow-ups
  • Support sustainability, energy efficiency, and BMS-related initiatives
  • Act as a coordination point between departments, tenants, consultants, and service providers
  • Take meeting minutes and follow up on action items to ensure timely closure
Ideal Profile
  • Bachelor's degree or diploma in Facilities Management, Engineering, or a related field
  • 2 to 4 years of experience in facilities management, property operations, or project administration
  • Experience in large commercial, mixed-use, or retail environments is preferred
  • Familiarity with CAFM systems, BMS platforms, or SAP workflows is an advantage
  • Strong understanding of MEP systems and FM operational processes
