Overview

Responsible for all aspects of moves of the offices, patient transfer of room, furniture and other items. Coordinates and schedules the timing of all moves. Determines whether to move or replace furniture and fixtures. Serves as Facilities Services customer interface and point of contact with moving contractors and fixtures. Supervises the contractors providing the services, including determining damages, ensuring satisfactory resolution of these claims, and approving payments. A key part of scheduling involves determining the best time for moves to occur and ensuring that the work is completed within the scheduled time period.

Responsibilities

- Coordinates with the DCO to determine assignments of offices and patient rooms and implement these assignments in a coordinated manner.
- Manages purchasing and installations of furniture in the facility, renovations, and cyclical replacements. Involves ensuring that furniture ordering packages are completed correctly and delivered on time.
- Assist Maintenance Staff in identifying and resolving facility deficiencies which include whether the building systems are operating appropriately, determining whether aesthetic appearances are acceptable and in compliance with the Civil Defence and various health and safety requirements. Evaluating options for correcting problems or upgrading finishes. Assist the Maintenance Staff in supervising the works of the contractors during Plan Preventive Maintenance schedule.
- Responsible for supervising all outsourced staffs. Making sure that they are performing their job properly and in high quality.
- Serves as primary contact for all outsourced companies of the facility. Ensure that all contracts are valid and up to date.
- Provides technical support in coordinating facility services in support of the facility events or education.
- Oversee all aspects of general office coordination.
- Maintain office calendar to coordinate work flow and meetings.
- Maintain confidentiality in all aspects of client, staff and agency information.
- Interact with clients, vendors, and visitors.
- Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing.
- Coordinate and maintain records for staff, office space, telephones, parking, company debit card, and office keys.
- Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office, QuickBooks or other programs.
- Set up and coordinate meetings and conferences.
- Collect and maintain an inventory of office equipment and supplies.
- Assist with the overall maintenance of the organization and its offices.
- Responsible for the supervision of maintenance staff and housemothers.
- Facility Coordinator will ensure Weqaya requirement in facility as per the Department of Health \xe2\x80\x93 Abu Dhabi guidelines
Occupational Safety & Health (OSH)
- The appointment of an OSH Officer does not relinquish the responsibilities of top management, managers, supervisors or employees under Amana Healthcare. Rather the appointment is part of the strategy to assist all parties in meeting their regulatory responsibilities
- Demonstrate leadership in the development, implementation and maintenance of an appropriate OSHMS
- Provide specialist advice and support to senior management regarding the management of workplace hazards and risks
- Ensure OSH performance monitoring system is in place to ensure the effectiveness of injury prevention and risk management policies and procedures
- Ensure effective two-way communication between senior managers and the OSH department
- Ensure that OSH programs are consistent with Amana Healthcare policies and procedures
- Provide technical advice to all staff regarding OSHMS activities
- Support and provide guidance in risk assessments to identify and evaluate occupational hazards & risk
- Coordinate with Infection Control & Prevention department for reporting of Occupational Illness and Injuries and other infection control KPI\xe2\x80\x99s
- Conduct internal audits and inspections and participate in and facilitate annual external audits and DOH-OSHMS audits and inspections

Qualifications

Required:

- Bachelor\'s Degree OR Diploma in the relevant field

- National Examination Board in Occupational Safety and Health (NEBOSH) certificate (or equivilant)

- Two to four (2-4) years relevant experience

Desired:

- Experience in a healthcare faility
