Coordinate and schedule appointments and meetings, ensuring all relevant materials are prepared in advance to optimize executive time management.
Handle incoming calls with professionalism, taking accurate messages and ensuring effective communication between departments and external contacts.
Handle all the flight ticket booking and hotels booking.
Maintain an organized filing system, both digital and physical, for easy retrieval of important documents and information as needed.
Assist in the preparation of reports and presentations by gathering data and formatting documents to ensure a professional appearance.
Oversee office supplies inventory, anticipating needs and placing orders to ensure the workplace is fully equipped at all times.
Manage correspondence by drafting, editing, and sending emails and letters while adhering to the company's communication guidelines
Qualifications:
Minimum educational qualification of a high school diploma; an associate or bachelor's degree in business administration is preferred.
1-3 years of relevant experience in a receptionist or administrative support role within a corporate environment is essential.
Proficiency in office software, including MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
Fluency in English is required; additional language skills (e.g., Russian ) is highly advantageous for diverse workplace interactions.
Excellent verbal and written communication skills to interact professionally with clients, visitors, and colleagues.
A proactive attitude with a keen attention to detail to ensure accuracy in all tasks and communications.
Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
