Job Description

we are looking for a young and dynamic Executive Secretary: Key Responsibilities: Calendar Management: Efficiently manage and prioritize the executive\'s calendar, scheduling meetings, appointments, and travel arrangements. Anticipate and proactively address scheduling conflicts or priorities. Communication Management:Key Responsibilities: Calendar Management: Efficiently manage and prioritize the executive\'s calendar, scheduling meetings, appointments, and travel arrangements. Anticipate and proactively address scheduling conflicts or priorities. Communication Management: Screen and manage incoming calls, emails, and other correspondence for the executive, providing timely responses or redirecting as necessary. Draft and edit official correspondence, reports, and presentations on behalf of the executive. Travel Coordination: Arrange and coordinate all travel logistics including flights, accommodations, transportation, and itineraries. Ensure travel plans align with the executive\'s preferences and business needs. Meeting and Event Coordination: Plan, coordinate, and organize meetings, conferences, and events, including logistics, agendas, materials, and follow-up actions. Provide support during meetings, taking minutes and distributing relevant documents. Confidentiality and Discretion: Handle sensitive information and maintain the highest level of confidentiality in all interactions and communications. Exercise discretion in dealing with confidential matters and sensitive documents. Document Preparation and Management: Prepare, proofread, and edit documents, reports, presentations, and other materials for the executive. Maintain organized filing systems for easy retrieval of documents. Office Administration: Oversee administrative tasks, including office supplies procurement, record keeping, and general administrative support for the executive\'s office. Relationship Management: Act as a liaison between the executive and internal/external stakeholders, cultivating positive and professional relationships. Coordinate with various departments to ensure seamless communication and collaboration. Special Projects and Research: Conduct research and compile information on specific topics or projects as assigned by the executive. Assist in preparing background materials for presentations or meetings. Time Management and Prioritization: Assist in prioritizing tasks and deadlines to ensure the executive\'s time is allocated effectively. Handle multiple tasks concurrently, ensuring all are completed in a timely manner. Qualifications: Bachelor\'s degree in Business Administration, Secretarial Studies, or related field (preferred). Proven experience as an executive secretary or in a similar high-level administrative role. Proficient in using office software and communication tools (Microsoft Office Suite, email, calendars, etc.). Excellent written and verbal communication skills. Strong organizational and multitasking abilities. High level of professionalism, discretion, and integrity.
